Major Responsibilities:


  • Assembles and redacts disclosure received from enforcement agencies and assembles legal filings and court documents as required.
  • Reviews prosecution files for disclosure documents, including audio and video disclosure, correspondence, bylaws and statutes as required and requests any missing documentation or other disclosure items.
  • Drafts and responds to internal and external correspondence, including requests for additional disclosure.
  • Takes instructions from the Director, the Practice Lead, Solicitors, Managers and Supervisors.
  • Consults with enforcement staff from client divisions, and Toronto Police Service as necessary, and obtains all relevant documents from them for assembling disclosure packages.
  • Maintains "tickler" or "bring forward" system with respect to disclosure requests, court filings and other aspects of prosecution matters, and provides periodic file status reports.
  • Checks to determine if all relevant statutory requirements are addressed as they relate to assigned matters.
  • Processes execution of documents by outside parties, including detailed review of executed and/or required documents for compliance with Prosecutions Unit requirements.
  • Requests certified or other relevant documents from authorized signing officers of City, Divisions, external agencies, Courts, Tribunals or other third parties.
  • Reports completion of matters to the appropriate City Divisions
  • Files and distributes documents.
  • Responds to inquiries from City Divisions, outside boards or agencies, lawyers and the public.
  • Communicates directly with defendants, court agents, and counsel in order to receive completed disclosure requests.
  • Participates in documenting and introducing new disclosure and case management policies and procedures in the client and Legal Services Divisions, including appropriate client training as required.

Key Qualifications:


  • Successful completion of a two (2) year law clerk or paralegal program at the community college level (or satisfactory combination of education and experience that would be considered an equivalent).
  • Experience with preparing files for prosecution litigation, or other court files. (e.g. the review and processing of disclosure in Provincial Offences Act matters or matters under the Criminal Code).
  • Considerable experience in utilizing a variety of software programs (e.g. Word, Excel, Adobe, and databases).

You must also have:


  • Excellent written and oral communication skills and the ability to communicate with all levels of staff, the public and external agencies.
  • Ability to handle confidential and sensitive information with discretion and tact and in accordance with City policy and legal requirements.
  • Ability to handle large volume of different files in an efficient, accurate and organized manner.
  • Ability to deal courteously and tactfully with the public, staff and private sector lawyers.
  • Ability to plan, organize and manage work independently with mínimal supervision.
  • Must be willing to work out of various POA Court locations as required and may be able to work remotely when operationally feasible and when in compliance with the City's remote work policy and attestation.
  • Must be willing to work overtime as necessary.
