Receptionist/front Desk - North York, Canada - XBASE Technologies

Working Hours:
Full-Time, Monday to Friday, 9:00 AM - 5:00 PM
Responsibilities:

Couriers Coordination: Coordinate incoming and outgoing couriers efficiently, maintaining precise records and ensuring prompt delivery to the intended recipients.

Phone Management: Handle phone calls with professionalism and courtesy, providing assistance and direction as needed. Very low call volume.

Guest Greeting: Extend a warm welcome to all guests and visitors, ensuring they are promptly guided to the appropriate personnel or destination. Maintain a neat and organized reception area.

Basic Bookings Assistance: Assist clients and visitors with basic booking and appointment inquiries, offering helpful information and guidance.

Creating Quotes: Collaborate with the Tech team to create quotes for customers using Quotewerks, ensuring accurate and detailed information is incorporated.

Purchase Tracking: Monitor vendor purchases and diligently follow up on all backorders, updating tickets with the required details to ensure seamless procurement.

Credit Card Reconciliation: Execute credit card reconciliation procedures, upholding precision and adherence to company policies.

Administrative Support: Provide comprehensive administrative support, including data entry, filing, and photocopying.

Office Supplies Management: Oversee office supply inventory, promptly replenishing items as necessary to ensure smooth operations.

Other Duties: Undertake additional tasks and responsibilities as assigned, contributing to the overall efficiency and success of the office.
Qualifications:
- Previous experience in a receptionist or administrative role is preferred.
- Strong communication and interpersonal skills.
- Professional, friendly demeanor with a commitment to delivering exceptional customer service.
- Proficiency in office software and equipment, including the Microsoft Office Suite and multiline phone systems.
- Exceptional organizational and time management abilities.
- Keen attention to detail and accuracy.
- Capability to work both independently and collaboratively within a team.
- High school diploma or equivalent; additional education or certification is a plus.
