    Legislative Coordinator - Mississauga, Canada - City of Mississauga

    Job Summary

    As a Council and Committees Coordinator, your main responsibility will be composing various documents like agendas, reports, and correspondence. You'll also need to coordinate meetings, assist delegations appearing before Council or Committees, and ensure meeting arrangements are well communicated. Your role will involve recording proceedings, providing support to Committees and senior staff, and handling specialty areas such as citizen outreach and committee education.

    • Review, organize, and research to prepare agenda items.
    • Attend meetings and record discussions accurately.
    • Prepare written motions before meetings and report on recommendations.
    • Compose detailed minutes of Council/Committee proceedings.
    • Coordinate programs, events, and manage Committee budgets effectively.
    • Act as the primary corporate contact for Council and Committee matters.
    • Respond to inquiries from various stakeholders regarding Committee activities.
    • Facilitate training sessions and provide guidance on legislative processes.
    • Collaborate with Committee Chairs to ensure compliance with Terms of Reference.
    • Perform additional duties as required.

    Skills and Qualifications

    • Post-Secondary Degree/Diploma in Public Administration or related field.
    • 2 years of administrative experience, preferably in a government or municipal environment.
    • Experience with various software including Adobe Pro, Microsoft Office, and meeting management tools.
    • Proficient in electronic meeting software like Webex and Zoom.
    • Strong communication skills for interacting with stakeholders.
    • Attention to detail and ability to work efficiently under pressure.
    • Excellent research and analytical skills.
    • Strong initiative, accountability, and customer service orientation.
    • Ability to work irregular hours and manage workload effectively.
    • Team player with strong organizational skills.
    • Working knowledge of relevant legislation and by-laws.
    • Leadership skills and ability to provide guidance to colleagues.
    • Comfortable working in an office environment with occasional light lifting.
