SUMMARY OF RESPONSIBILITIES:


  • Assist Maintenance leaders (i.e. Supervisor, Coordinator, Planner, QA) with administrative functions;
  • Update and maintain department employee files;
  • Support data entry of production paperwork;
  • Ensuring any errors and omissions are brought to the attention of the work package leader for correction;
  • Submit appropriate documentation for new employees and contractors including submission of change requests to IT for any necessary Skytrack setup (new users, change of department, change of skills, etc.);
  • Coordination of inhouse or outofbase training;
  • Includes travel arrangements, bookings and preparing their packages and training contracts;
  • Clerical support: coordinate meetings, take minutes, travel arrangements, prepare documents, daily/weekly/monthly reports, verify expense reports, process invoices to appropriate agency(ies), maintain employee database information, etc.;
  • Order office supplies and uniforms;
  • Act as a backup for the SMS/Training/H&S group;
  • Complete employee schedule;
  • Receive, review and approve timesheets and send them to the payroll department;
  • Enter employee labor when needed and verify contractors' hours;
  • Manage crew schedule and labor verification in SkyTrack and ensure its accuracy;
  • Review employee time on the supervisor work screen in Skytrack on a daily/weekly basis;
  • Ensure regular updates are made to the Skytrack Shift Master data tables;
  • All other related duties as assigned by the Supervisor.

QUALIFICATIONS AND SKILLS REQUIRED:


  • Postsecondary education in a related field, an asset;
  • A minimum of three (3) years of administrative experience in a computerized environment;
  • Proficient in the use of Microsoft Office Products (Word and Excel);
  • Strong communication skills and flexibility;
  • Very detailed oriented with a focus on process improvement;
  • Ability to work under pressure and possess excellent organizational skills;
  • Ability to review own work for accuracy and thoroughness;
  • Ability to bring new ideas in improving existing processes;
  • Ability to multitask and work in a fast paced environment;
  • Aviation, billing, manufactory and/or any other related environment experience, an asset.
