About Us:
The Office of the Registrar supports students' academic pursuits as well as Western's strategic priorities by delivering an array of integrated services in a professional environment, while maintaining the integrity and confidentiality of student information throughout the student lifecycle.
Responsibilities:
The Student Records Officer is responsible for coordinating business processes as they relate to student records and enrollment services.
The Student Records Officer is a source of information on behalf of the Office of the Registrar in relation to students' records, enrollment activities, and graduation and a key resource for maintaining procedural documentation for the processes within the Student Records group.
The Student Records Officer also supports the unit through student record set-up, course registration set-up, term activation, internship set-up and grading, name changes, Dean's Waivers, and adjudication workflow including the administration, planning and distribution of Western University diplomas.
Qualifications:
- Education:
- University Degree preferably in Business Administration or Information Management
Experience:
- 3 years' progressive administrative experience within a postsecondary academic environment
- Experience working within a postsecondary environment supporting registrarial services preferred
- Previous experience using PeopleSoft Higher Education, and/or supporting Student Records an asset
Knowledge, Skills & Abilities:
- Excellent verbal and written communication skills with a demonstrated ability to write clear, concise procedural documentation
- Intermediate computer skills in Microsoft Office suite (e.g. Word, Excel, Access) and PeopleSoft HE preferred
- Demonstrated commitment to ongoing learning and professional development
- Ability to process information with high levels of accuracy as well as analyze and synthesize sizable amounts of detail/data
- Ability to work within a flexible schedule to accommodate the University's events and activities (e.g., Convocation ceremonies can run outside regular business hours)
- A strong record of teamwork with the motivation and ability to work independently with little supervision
- Demonstrated resourcefulness with a strong sense of accountability and initiative
- Ability to work with individuals and groups in a constructive and collaborative manner
- Ability to work well under pressure and handle multiple conflicting priorities in a fastpaced environment with frequent interruptions
- Judgment, analytical and problemsolving skills with a consultative and collaborative approach to addressing issues and opportunities
- Professional manner, tact, diplomacy and discretion in dealing with associates and colleagues including senior management
- Proven ability to take initiative and champion a project from conception through implementation and evaluation
