Job Summary:

Processes accounting tasks assigned including Accounts Receivable, Accounts Payable, Payroll and supports General Ledger tasks as assigned.

Ensure assigned tasks are processed in a timely and accurate manner in accordance with TWN, government policies terms and regulations.


Duties & Responsibilities:


Accounts Receivable:

  • Collect payments in cash/cheque and generate receipts to customer
  • Record EFT payments to accounting system
  • Prepare deposit documents
  • Process refund, returned cheque to accounting system
  • Respond to all customer enquiries regarding finance
  • Maintain accounts receivable subledger
  • Keep track of funding receivable and payments
  • Reconcile accounts receivable general ledger accounts
  • Maintain an organized filing and records system for all appropriate documents including contracts and agreements
  • Continue to improve the receivable process
  • Act as a backup to Tax Administrator and perform all taxation functions during Tax Administrator's absence
  • Assist Tax Administrator with various tasks (reconciliations, taxation, mailout, etc.) during the busy tax season
  • Perform other duties as required

Accounts Payable:

  • Process Accounts Payable transactions within established timeline
  • Data Entry of payment form and batch invoices for payment
  • Verify invoices and requisitions for payment
  • Enter/review new vendors and EFT banking information
  • Schedule, edit, print cheques and upload payment file to bank as required
  • Download EFT confirmations from RBC Express
  • Assist with Visa reconciliations
  • Identify tax status of suppliers' invoices
  • Reallocate invoices to appropriate general ledger accounts as required
  • Respond to internal inquiries of payment and void/reissue cheque as required
  • Respond to all vendor inquiries and reconcile vendor statements
  • File invoices and supplier correspondence
  • Continue to improve the AP process

Qualifications:


  • Successful completion of secondary school, or an equivalent combination of education, training and experience
  • Certificate in Accounting, Business Administration is an asset
  • Minimum of three years (3) of related experience in administrative support, accounts receivable/payable, payroll and general bookkeeping, taxation, etc.
  • Experience working with BC First Nations organizations in a financial capacity is an asset
  • Experience in use of Microsoft Office suites of software, including Word, Excel, PowerPoint and Outlook
  • Experience working with time and payroll attendance system is an asset
  • Physical ability to perform the duties of the position
  • Must successfully pass a Criminal Records Check

Physical Demands

  • Significant desk work with long periods of sitting down, staring at computer screen and manual dexterity (keyboard operations).
  • Admin duties such as filing, shredding, etc.

Mental Demands

  • Required to manage a number of requests and situations at one time. The office may be noisy and busy making it difficult to concentrate.
  • Stress may be caused by tight deadlines, the variety of tasks and the volume of the workload at certain times of the year. This could cause some stress when attempting to prioritize tasks and deal with multiple staff at the same time.
