JOB SUMMARY


The Executive Coordinator, Office of Rick Hansen (ORH), is responsible for supporting the day-to-day schedule of the Founder, Rick Hansen, in a professional and efficient manner.

This will include managing the Founder's portfolio of key relationships and fostering high levels of engagement to ensure successful execution of the Founder's Strategy.


Please note that travel, flexibility with hours of work, a valid driver's license and access to a vehicle are required.


WORKING RELATIONSHIPS
Reporting to the Sr. Executive Assistant, the Executive Coordinator works closely with the Founder, Director, ORH, ORH team, and the Executive Office. This position liaises internally and externally with key parties.


ORH TEAM ACCOUNTABILITIES
In partnership with the ORH team, this position actively participates with Strategy and Climate.


Supports/leverages all engagements to maximize ROI; understands role; identifies target opportunities against ROI; helps secure opportunities; ensures Founder is prepared for success in the engagement; supports the event/engagement; ensures appropriate follow-up; and measures impact.

Participates in and contributes to regular team Climate sessions; develops goals; and supports, implements and promotes action plans in support of healthy team dynamics.


KEY ACCOUNTABILITIES
Works closely with the ORH team to ensure meetings with key parties are set-up;
Liaises with Director, ORH, Sr. Executive Assistant, and all RHF departments to create appropriate briefing materials for the Founder in advance of meetings/events with key relationships;
Staffs Founder at virtual and in-person meetings, including events and business trips as needed;
Ensures proper meeting minutes are taken, debriefs collected, and materials tracked in Salesforce;
Ensures timely follow-up for all contacts made by the Founder;
Works closely and effectively with the Founder to keep him well informed of upcoming commitments and responsibilities;
Carefully tracks and documents all of the Founder's activity in Salesforce;
Understands and proactively follows key relationships for the Founder to:
provide timely communication for standing engagements such as birthdays, anniversaries as well as ad hoc key events; and
identify key updates and news to share.
Creates and actively manages the Founder's relationship database and network accounts (i.e. Salesforce and personal contacts list) in order to nurture current and future relationships;
Assists Director, ORH as needed;
Maintains discretion and confidentiality in all Founder relationships;
Assists with various administrative duties, such as expense claims and credit card reconciliation;
Works on special projects as required;
Provides back-up coverage as needed i.e. vacation coverage; and
Performs other duties related to the qualifications and requirements of the job.


QUALIFICATIONS
An equivalent combination of education, experience and skills/behaviours will be considered.


Education:
University degree in a related field or an equivalent combination of education and experience an asset.


Certification/Designations:
None.


Experience/Knowledge:

Several years of experience in an administrative role;
Previous experience working with senior executives;
Experience writing clear, concise business correspondence with varying levels of complexity;
A valid driver's license anis required;
High level of computer proficiency required with MS Office;
Previous data entry/CRM experience (experience with Salesforce is an asset); and
Knowledge of issues related to people with disabilities would be considered an asset.
