About the Opportunity:


Reporting to the Health Services Manager, Primary Health Care, the secretary provides secretarial and administrative support for Primary Health Care (Central Zone) Care by Design Program and the Department of Family Practice with Nova Scotia Health Authority.


The Secretary will:

  • Provide general secretarial and administrative support for the Primary Health Care and Department of Family Practice team (meeting and room bookings, assisting with preparation for meetings / events, mailing, faxing, ordering supplies, etc.)
  • Make regular content updates (data entry) to community wellness program schedules using inDesign, including arranging printing and distribution
  • Make updates to Primary Health Care and/or Department of Family Practice web pages
  • Collate and input data for quality improvement initiatives
  • Provide main reception support
  • Process physician payments monthly
  • Liaise with physicians and community partners to develop on call schedules
  • Provide support for onsite operations
The Secretary may also provide additional support for individuals, organization-wide committees/task forces/foundations/auxiliaries/community groups as assigned.

On an as-needed basis, the incumbent may also provide general administrative coverage in the absence of other secretaries reporting within the portfolio.


About You:


  • Grade 12 plus graduate of a recognized office administration / business / secretarial program, OR an equivalent combination of education, training and progressively responsible experience
  • Two years' recent related experience required
  • Experience using inDesign, or similar desktop publishing software is an asset
  • Minimum typing speed of 60 wpm
  • Excellent verbal and written communication skills
  • Proficiency in drafting correspondence, taking minutes and preparing reports
  • Excellent interpersonal and customer service skills
  • Strong organizational, time management and planning/prioritization skills
  • Experience in a healthrelated environment preferred.
  • Competencies in other languages an asset; French preferred

Hours:

Long Assignment, 63 hours bi-weekly

Compensation and Incentives:

$ $23.14 hourly
