Sprung Studios is looking for an
Office Coordinator to join our team in Vancouver
Office Coordinator Job Description:
- Purchasing office supplies and equipment and maintaining proper stock levels
- Organize team and company socials, including the coordination with vendors, activities, and communication
- Maintain company schedule for team events, as well as tracking vacation, time off requests, and absences
- Deal with any internal maintenance issues within the office as they arise
- Book hotels and flights, facilitate training workshops, plan events and teambuilding activities
- As employees ask for materials, maintain a purchase list for the office so that duplicates are not ordered
- Setting up desks and equipment for new hires
- Work with IT to keep an uptodate inventory list of all equipment
- Supporting HR/Business Development/and the CEO with adhoc duties as they arise
- Assist in creating monthly newsletters to promote a positive and healthy workplace
- Assist in creating immigration letters
- Expenses management and receipt collection for all employees (inputted into Xero)
- Assisting the HR Manager with PTO, Sick, and WFH allowances
- Maintain the printer/printing documents for employees
- Keep meeting rooms tidy and ensure keyboards/mice are charged
- Keep kitchen tidy and ensure dishwasher is cleaned
- Shipping and receiving orders
- Perform other duties and projects as assigned
What you Bring:
- Minimum of two (2) years of business administration experience in an entrepreneurial setting or small business setting; bachelor's degree in Business Administration preferred.
- A successful track record in an administrative/coordinator support function.
- Advanced software skills in Google Suite.
- Experience working in an administrative assistant role
- Experience in having organized team building or social events
- Excellent organization and logistics skills
- Strong notetaking skills and assigning tasks via Google Suite
- Experience using Google Sheets to work with budgets and inventory
- Strong understanding of and commitment to confidentiality
- Creativity in keeping the team engaged through social activities
- High level of autonomy and selfmotivation
- Excellent interpersonal, oral, and written communication skills
- A meticulous eye for detail
We are working with a hybrid model.
Mondays and Fridays are an option to work from home, with everyone in the Studio on Tuesdays, Wednesdays and Thursdays.
