JOB DESCRIPTION

PROPERTY ADMINISTRATOR (LONDON/ST. THOMAS REGION)


As a member of a professional and growing real estate management company, you will be based in the London/St Thomas region and will be responsible for the Property Administration function on a busy portfolio of both commercial and residential properties located across Central and Western Canada.

Your main objective in this role will be to ensure that all of the elements of the position as outlined below are being performed in an efficient manner, and to support the team.

You will have a positive, professional approach in planning, scheduling, communicating, and organizing the activities of your position.

You will report internally to the Vice President - Central & Western Canada; work closely with the Property Manager - Southern Ontario and Senior Property Administrator; and support the Central & Western Canada property management team.


The portfolio is currently comprised of:

  • A portfolio of farmland and farmhouses located in the London / St. Thomas area consisting of approximately 15 residential tenants and 6 farmland tenants. This portfolio also includes some woodlots, vacant rural land, barns, and other accessory farm buildings. The residential tenants will require a high level of patience and attention.
  • 50 +/ commercial properties primarily located in Manitoba, Ontario, and Quebec, as well as some single tenant properties in Saskatchewan, Alberta and BC. The portfolio is a mix of largely industrial as well as some office and retail assets.
The day-to-day role is as follows but not limited to:

  • Front line tenant contact in dealing with a variety of residential and commercial tenant issues.
  • Respond to residential and commercial tenant repairs and maintenance requests, and dispatch appropriate contractors as required.
  • Work with the Property Manager to obtain and approve repairs / maintenance quotes.
  • Coordinate/arrange property access for contractors, etc. and maintain property keys/lockboxes.
  • Maintain tenant and contractor contacts.
  • Work closely with the Property Manager to coordinate the clean up of vacant properties for rent, assist with the marketing of vacant residential properties for rent, help respond to rental inquiries, show vacant residential properties, help qualify new residential tenants, help prepare and help get tenants to sign residential leases.
  • Help coordinate tenant move in and move outs.
  • Rent and arrears collection.
  • Tenant account reconciliations
  • Collect and track tenant insurance certificates.
  • Manage utility accounts.
  • Assist with the completion of Monthly reports on the portfolio and assist with annual budgets.
  • Other duties as assigned.

Experience required:


  • Experience in dealing with residential and commercial contractors for HVAC repairs, roof leaks, electrical and plumbing repairs, plumbing repairs, appliance repairs, etc.
  • Previous experience in residential and/or property administration. Knowledge of the Residential Tenancies Act is not required but would be an asset.
  • Experience in rent collection and reconciling tenant rent accounts.
  • Superior organizational skills, ability to multitask with an eye for detail
  • Ability to work independently with mínimal supervision.
  • Strong interpersonal and communication skills
  • Knowledge and experience in Microsoft Office
  • Personable, pleasant demeanor

Hours of Work


The Employee will mainly work core hours between 9AM and 5PM, Monday to Friday, however, the employee acknowledges that due to the nature of the role, it will be expected that the employee will also be available 24/7 for on call emergencies and have access to a vehicle.


Workplace
The Employee is responsible for working with the Canada Revenue Agency to determine any home office tax deductions.


Salary:
$55,000.00-$60,000.00 per year
