About This Role and You
The role of Administrative Coordinator supports and enhances the productivity of the site leadership team.

This is accomplished by assisting in the development, organization, and control of documents and correspondence, by facilitating and communicating the results of various meetings and by coordinating human resource related activities.

Strong, clear, and timely communications, both internal and external to the site, are essential to this position


Qualifications:


  • Minimum two years of experience in HR.
  • Working knowledge of Microsoft Office software.
  • Demonstrated ability to communicate and relate to a culturally and educationally diverse workforce / customer base / community.
  • Experience in inventory control, transportation planning, and customer relations a plus.
  • Adept at managing time, adapting to changing work priorities, and efficiently managing multiple responsibilities.
  • Willing to change work schedule to meet specific job responsibilities, e.g. start earlier or later as required for efficient communication / participation in plant activities.

Responsibilities:


  • Perform various administrative and clerical duties for assigned site locations and provide administrative support to plant manager and other department managers as needed
  • Acts as a liaison to employees, answering basic questions pertaining to interpretation of Chemtrade and Human Resources benefits and policies, and direct employees to appropriate resource for additional assistance if needed.
  • Create and maintain files for various departments at site including but not limited to; Quality/Manufacturing, EH&S and Human Resources
  • Process timesheets and manage payroll reporting and activities for site locations. This includes tracking of hours worked, overtime, vacation / sick time and Leave of absence/ FMLA for each employee. Assist payroll with inquiries and help resolve discrepancies
  • Coordinate new hire training, prepare new hire packets, assist employees with benefit questions and paperwork, process I9 verifications and update Ultipro system with employee status updates.
  • Assist HR department with Open enrollment, HR programs and policies, and with the rollout of employee wellness programs and initiatives
  • Support recruitment function by assisting HR with on boarding, interview scheduling and other administrative duties
  • Assist site with contractor onboarding following Syncrude/Suncor requirements.
  • Parts pick up in town may be required from time to time.
  • BOL Tracking, working with others on the confirmation of numbers ensuring shipping is correct.
  • SAP entries for invoices, PO creation, and month end.
