CUPE 5791 Job Family Operational Services Category Staff Number of Vacancies 1 Position Summary
Reporting to the Manager, Residence Life, the Administrative Assistant will support all functions within Housing Services and Student Affairs Operations.
Primary Responsibilities:
- Provide customer service and anticipate guests/students needs by answering questions, solving problems and dealing with concerns from students, parents, faculty, departments, hotel/conference guests regarding room assignments, dining plans, and roommate selections;
- Process payments from students, hotel and conference guests, and responsible for daily cashout and balancing;
- Reconcile accounts and daily receivables;
- Ordering of office supplies;
- Run student and conference/hotel guest reports as needed;
- Data entry;
- Assist with hotel requests including key preparation and checking in guests;
- Assist with campus space booking operations, such as key signout;
- Participate in movein and moveout of residents, key creation, package creation, document preparation;
- Coordinate tour bookings from internal and external students, groups, partners;
- Assist with program administration, such as participant signup, taking and processing participant fees, and other related tasks;
- Process daily mail for offices and student mail including parcels, UPS, etc.;
- Provide administrative support for Management Team as required.
Position Requirements
- Grade 12 supplemented by the completion of a recognized business course combined with a minimum 2 years' office administration experience;
- Ability to plan, organize, prioritize and meet critical and ongoing deadlines;
- Ability to plan, develop and coordinate multiple projects in a fastpaced environment;
- Ability to work independently with mínimal supervision;
- Experience taking payments and cash out;
- Experience with basic accounting principles and advanced Excel knowledge;
- Demonstrated customer service and interpersonal skills;
- Ability to exercise mature judgment, initiative, and maintain confidentiality at all times;
- Superior interpersonal and customer service skills and experience working with diverse groups;
- Accuracy and attention to detail is a vital requirement in this position;
- The ability to work some flexible hours is required;
- This position works oncampus to support our students and guests.
8:15 am - 4:30 pm, Monday to Friday; some flex time and/or overtime may be required during peak times.
For example:
must be able to work off-hours during move-in/out weekends and University/statutory holidays as needed.
