The Health Centre is currently recruiting for the following position:

HUMAN RESOURCE COORDINATOR/PAYROLL ASSISTANT

Full-Time Permanent

Position Summary


Reporting to the Manager of Finance, the Human Resource Coordinator/Payroll Assistant is responsible for all duties related to Human Resources and benefits administration.

This role supports the day-to-day operations of organizational human resources and payroll functions as required.


Specific Responsibilities

  • Draft and prepare documents such as job descriptions, job postings, offer letters and other employment contracts.
  • Coordinate recruitment activities such as advertising, preparation of screening and interview tools, scheduling interviews and verification of credentials. Perform applicant screening and/or reference checks.
  • Working with supervisors, student preceptors and administrative staff, coordinate orientation activities for new staff and students. Track and ensure all required training and orientation documents are completed. Provide orientation to new staff for all human resources, payroll, and benefits information.
  • Provide information to employees and prepare documents related to staff leaves of absence and terminations including benefits and pension entitlements.
  • Update standard templates as required such as job descriptions, performance appraisal tools and contracts. Inform Managers of upcoming PA's, provide the necessary documentation to the manager/staff and facilitate the merging of the final document for the file. Lead the contract renewal process with the responsible managers.
  • Develop and maintain human resources and payroll document management systems, both electronic and paper.
  • Maintain individual employee records, ensuring confidentiality and in accordance with Community Healthcaring KW policies.
  • Verify and document professional licenses/certifications and liability insurance on annual basis for required positions.
  • Participate in/initiate with supervisor appropriate performance related meetings including termination and ensure proper related documentation is then entered into the file.
  • Ensure adherence to all workplace occupational health, employment standards and other employment related legislation.
  • Maintain HR certification/licensing as appropriate and membership in CHRP.
  • Assist in the processing of bi-weekly payroll. Distribute employee pay stubs, Records of Employment, and other documents as necessary.
  • Perform all duties related to the administration of the employee group insurance plan, pension, and other benefits: process new enrolments, updates, and terminations.
  • Prepare monthly, quarterly, annual, and ad hoc human resources reports.
  • Assist with accreditation activities related to human resources and other related practices.
  • Participate in team/staff meetings and other meetings and committee work as assigned to support both service delivery and organizational goals.
  • Work individually and collaboratively in the development and implementation of quality improvement initiatives and activities as needed.
  • Work in a manner that preserves confidentiality.
  • Work in a manner that ensures safety and minimizes risk to clients, volunteers, and the Centre.
