SUMMARY

RESPONSIBILITIES

  • Enters order specifications with applicable discounts into order processing system to generate order numbers
  • Establishes due dates where applicable, and other related order specifications for each step in the design, manufacturing and shipping process as governed by corporate order processing and manufacturing policies and guidelines
  • Enters job orders to produce product if and when necessary
  • Matches order documentation generated via the order processing system to the original customer order specifications to ensure that design, pricing and shipping requirements meets customer expectations and reviews supporting order documentation for accuracy and completeness prior to releasing orders to manufacturing
  • Receives and investigates customer complaints and anticipates potential order processing problems for purchase orders and takes the appropriate steps to resolve customer complaints and problems, to the satisfaction of the customer, within assigned authorities and corporate policies and guidelines
  • Investigates shipping or quality concerns and if warranted initiates credit and replacement through the Return Material Authorization (RMA) process
  • In conjunction with Accounting, resolves credit issues flagged by the system
  • Compares data entered from source documents (orders) to detect and correct errors
  • Provides coverage across the Customer Service department in the event of absences or leaves
  • Any other duties as required

  • Professional, respectful, and courteous demeanour towards internal and external customers, with demonstrated strong customer mindset
  • Proven interpersonal, communication (oral and written), and time management skills
  • Strong computer skills, specifically in MS Office, and integrated business systems
  • Strong planning, organizational, and problemsolving skills, as well as excellent attention to details
  • Able to grow and adapt to changing requirements, and learn new processes and/or procedures

QUALIFICATIONS

  • 2+ years of customer service experience, preferably in a distribution or salesdriven organization
  • Fluency in French is preferred, though not required
  • Secondary school diploma required

PHYSICAL DEMANDS AND WORK ENVIRONMENT
Work conditions are consistent with a general office environment within a manufacturing plant. The Customer Service role is largely sedentary, requiring sitting for long periods of time. There may be some walking and standing involved in order to gather data from various sources throughout the office. This role may also require lifting up to 20 lbs on occasion.
