Overview
The Administrator/Coordinator is primarily responsible for the support of the office of the Vice President.

The Administrator/Coordinator supports the daily functions of the Vice President and their direct reports, attends meetings and records minutes, manages calendar and ensures the filing of information remains relevant and up-to-date in SharePoint.

The Administrator/Coordinator provides recommendations to the leadership team and VP on administrative tasks, as well as liaise VP with the group's Senior Vice President and other executives.

The Administrator/Coordinator will also have group budget management (reconciliation, maintenance and forecasting) responsibilities.


Discipline Summary

  • Supports general business operations by providing various administrative support activities as a generalist or in a combination of disciplines in the Administrative Services Function
  • Provides administrative support to executive and/or nonexecutive employees or groups in the organization
  • Coordinates internal meeting calendar and all external engagement for VP
  • Arranges business travel, and/or track expenses
  • Identifies, enhances and follows specific processes and procedures to maximize the efficiencies of work flows to which the support is being provided

Key Responsibilities

  • Provides administrative support to the VP and the leadership team including, but not limited to handling correspondence, managing and coordinating VP calendar and meeting agendas, managing workflows, routing information, preparing documents, arranging logistics, processing inquiries, administering budgets
  • Provides document or information storage and retrieval services including classification, organization and electronic data/Information entry or sourcing
  • Manage VP's travel scheduling and bookings
  • Administers VP's expenses and tracking
  • Manages and coordinates Leadership meetings & minutes (Weekly, Monthly, Townhalls, etc.)
  • Manages group attendance in PeopleSoft (or equivalent)
  • Manages group SharePoint & group related Livewire requests
  • Coordinates group moves with Facilities
  • Solves administrative problems and initiates improvements to administrative standards, controls and processes

Screening Criteria

  • Completion of secondary school
  • Minimum 3 years' experience in administrative/clerical field

Assets

  • Bilingual in both official languages (French and English) is a strong asset
  • Administrative/Executive Assistant training would be an asset

Salary Range:


  • Salaries are based on qualifications and experience and typically range from $44,370 To $59,160 plus a performancebased incentive.

Location

  • Export Development Canada is a hybrid work environment.
  • The preference is for role to be performed from our offices in Ottawa or Toronto but will also consider applicants in Montreal.
