Job Profile:
The successful applicant will be responsible for the administrative functions of the position, working under the day-to-day guidance of the Dispatch Specialist and the overarching direction of the Provincial Dispatcher.
Job Responsibilities / Duties:
To help dispatch members to employers in all areas and all sectors throughout on Ontario by:
- maintaining out-of-work lists for members in all areas;
- preparing job requisitions;
- identifying qualified members from the out-of-work lists;
- issuing clearance cards for work assignments;
- providing advice and direction to new and existing members on dispatch opportunities;
- recording all contacts and dispatch placements;
- referring member issues or concerns to the appropriate office or department;
- maintaining a file on all members registered in all areas;
- preparing dispatch reports for IUOE Local 793 management and membership.
To help process new and existing members into the dispatch system by:
- providing information on IUOE Local 793 member dispatch policies and procedures;
- assigning potential members to probationary dispatch placement if possible;
- registering new members on the out-of-work lists and helping to facilitate member check-ins to maintain their status on the out-of-work lists;
- explaining upcoming or available work to members;
- categorizing new members according to skills and agreements in the system.
To perform other related duties as required, such as:
- maintaining a current working knowledge of all collective agreements in all areas, both past and present;
- contributing to articles related to dispatch for distribution in the IUOE Local 793 publications as needed.
- Other duties, when required, as may be assigned by the Business Manager, or Human Resources Department.
Job Requirements:
- A college diploma or university degree related to office administration or similar, or equivalent relevant administrative experience;
- Experience working in an office setting or in a dispatch capacity is preferred;
- Knowledge of the construction industry and equipment as it relates to our environment;
- Knowledge and experience in the interpretation of Collective Agreements;
- Must display excellent comprehension, retention and consistent logical thought processing skills;
- Passionate about helping others with excellent customer service skills;
- Empathetic and able to handle emotional persons in a mature, professional manner;
- Protection of information and maintaining confidentiality is paramount;
- Must demonstrate a high standard of professional conduct, ethics and reliability;
- Excellent written, oral and interpersonal skills are required;
- Strong attention to detail in a highvolume workload setting;
- Initiative to solve problems and able to work effectively under deadline situations;
- Capable of organizing job responsibilities and prioritizing assignments;
- Strives to grow professionally and keeps alert to current practices concerning this position;
- Copes successfully with on the job demands and maintains personal composure in stressful situations;
- Ability to work both independently and as a team player;
- Ability to communicate in French, Portuguese and/or Italian is an asset.
