General Accountability:


  • Reporting to the Manager
  • Technical Support Services, the incumbent is responsible for providing administrative, secretarial, and clerical support to the Manager and staff in the Technical Support Services area, as well as the Bus Fleet Manager

Key Job Functions:


  • Prepare and/or assist with the preparation of correspondence and/or documentation on behalf of the department/section in accordance with department/section standards.
  • Process or assist with the processing of documentation, reports, data, with accuracy, and manage and maintain these documents, records, files, following established procedures and within established timelines.
  • Assist with the monitoring, tracking and updating of information/data/records, ensuring accuracy and following up as required.
  • Assist with and/or coordinate the daily administrative activities of the department/section.
  • May assist with or make recommendations for enhanced or improved methods related to one's assigned work.
  • Monitor, coordinate and schedule training courses for staff where required, and maintain records
  • Liaise with other colleagues/support staff, other departments, and/or external parties concerning routine matters under the direction of department staff.
  • Assist with other duties and tasks, and provide back up support as required.
  • May participate in and/or assist with department/section activities or events as directed.
  • Demonstrates behaviours that support diversity, inclusion, and a respectful work and service environment that is free from discrimination and harassment. Helps to remove barriers and accommodate employees and customers (within their area of responsibility) in accordance with TTC's commitments and obligations under the Ontario Human Rights Code (OHRC) and Related Orders, the Accessibility for Ontarians with Disabilities Act (AODA), and TTC's policies.

Education and Experience:


  • Completion of a postsecondary college diploma or university degree in a related discipline or a combination of education, training and experience deemed to be equivalent.

Additional Requirements:


  • Prepares, processes and submits employee payrolls for hourly and staff employees in the Technical Support Services (TSS) and Bus Fleet Management areas on a timely basis, and maintains associated manual and/or computerized data bases/spreadsheets.
  • Sound knowledge of modern office methods, practices, procedures and equipment
  • Must possess good keyboarding skills, basic mathematics and good organizational skills to meet established deadlines
  • Requires good oral and written communication skills for the purpose of exchanging and obtaining information
  • Familiarity with relevant units, parts, materials, supplies and terminology pertaining to the operation of the Bus Maintenance & Shops would be a definite asset
  • Must have or quickly acquire knowledge of the TTC, and Departmental policies, practices and procedures relating to the work. This includes a sound knowledge of the TTC's purchasing practices and procedures; section of the Collective Agreement relevant to the work and Maintenance Seniority Regulations as they relate to vacation sign up and workforce moves
  • Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees.
