    Who We Are

    The SFU Guest Accommodations Team is a subunit within SFU Residence and Housing Department, coordinates the stay of individual guests year-round in The Simon and groups bookings between May and August in the private residence rooms. Under the direction of the Manager, Guest Accommodations, the SFU Guest Accommodations team ensures that the summer spaces are managed along with a robust summer student residence population. Each Summer Term the unused student residence rooms are turnover to be used for summer groups and guests and then at the end of the Summer Term the student residence rooms are turned over again for the start of the Fall Term for student use. This meets the primary needs of SFU Residences and Housing mission for student housing. The SFU Guest Accommodations team is responsible for working with various individual guests as well as external and internal groups that stay in SFU Residence during the summer. This includes communicating with group coordinators and guests via email and phone to ensure contract deadlines are met, inspecting rooms prior to their arrival, preparing room keys, coordinating the check-in process, and acting as a point of contact for the group during their stay.

    About the Role

    Providing administrative assistance and accounting support for the Guest Accommodations unit within SFU Residence and Housing. The Client Accounts Associate helps with unit planning, coordinating, and tracking of individual guest and group bookings. Organizes all internal and external meeting room bookings, SFU department guest bookings and all long-term individual guest bookings. Checks the accuracy of information for guests and group bookings along with inspecting all guests and meeting rooms prior to arrival. Ensures that all Guest Accommodations financial accounts are accurate and balanced at the end of each month. Tracks and maintains Guest Accommodations inventory for amenity items, linen and guest and meeting room supplies. Participates in the training of our Student Conference Coordinators which are hired for the summer high season.

    The ideal candidate will have the following skills, qualities or core competencies needed to be successful in the role:

  • 55 wpm keyboarding skill with a high degree of accuracy.
  • Ability to perform credit card, debit card and cash transactions and to balance receipts with a high degree of accuracy.
  • Ability to use standard office applications (Word, Excel, and PowerPoint) at an intermediate level.
  • Ability to use housing software (e.g., StarRez).
  • Ability to write materials such as training procedures and confirmation letters.
  • Ability to maintain records with a high degree of accuracy.
  • Ability to identify and meet the needs of diverse client groups.
  • Ability to exercise mature judgment and initiative, and to handle confidential material with discretion.
  • Qualifications

    High school graduation and two years of post-secondary education with training in word processing, database, and spreadsheet applications and office accounting procedures. 3 years of experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • Good knowledge of office accounting procedures.
  • Excellent organizational skills.
  • Excellent customer service, interpersonal, and communication (oral and written) skills.
  • Excellent problem solving and critical thinking skills.
  • Ability to balance all guest, client and group financial accounts with a high degree of accuracy.
  • Ability to perform arithmetic calculations with a high degree of accuracy.
