Dream is looking for an Executive Coordinator

What will you do?
Below are some of the primary responsibilities you will be taking on in this role.

  • Administration and process of payments of Legal Bills and Insurance;
  • Monitor daytoday operations of legal department while ensuring deadlines are met;
  • Review incoming calls and correspondence, prioritize, and refer to the appropriate member of the Legal team;
  • Provide administrative support during Quarterly Board of Directors and Committee Meetings, Annual General Meeting and Management Meetings;
  • Preparation for vault/storage of legal files;
  • Completion of expense reports, purchase orders, as well as stationery orders;
  • Liaise with department managers, outside legal counsel as required;
  • Preparation and management of confidential files for the Legal Department;
  • Filing of commercial matters in binders and legal files, keeping system current;
  • Help maintain legal reference library (leases/contracts/prospectuses, etc.), ensuring materials are well organized and uptodate;
  • Develop and maintain coordinated filing system for legal and investor relations groups;
  • Maintain and organize task file system for the legal team, including task lists, and tickler system;
  • Preparation of correspondence and typing of agreements, prospectuses, legal documents, etc.;
  • Diarize and bring forward outstanding matters;
  • Conduct and followup deemed required on outstanding items; and
  • Manage tracking, monitoring and notifications for all current contracts.

What type of experience do you have?
These are only some of the things we'd like you to bring to the table.

  • You have at 3+ years of experience providing support to senior executives or working in either a law firm or an inhouse corporate law department;
  • You have impressive MS Office skills with Word, Excel, PowerPoint, Outlook, and Adobe;
  • Ability to work effectively and efficiently in a fastpaced environment;
  • Detail oriented with strong multitasking abilities;
  • You have good judgment, sound common sense and combine high energy with emotional maturity, tact, diplomacy, and the utmost discretion; and
  • You're ok with working overtime hours and being on call when it's needed to meet challenging and changing deadlines.
