About the Role
We are seeking an
Office Support - Child Protection to provide administrative support to the Child Protection Team.

This position is the first point of contact for all program related inquiries, including responding to administrative needs of the team both internally and externally.


Responsibilities:


  • Assist the Child Protection team with data management and file maintenance both electronically and physically.
  • Respond to inquiries for service/flagging emergent issues, log and route calls, and process electronic referrals as per workflow.
  • Provide various administrative support such as preparing memos, letters, schedules, appointment lists, recordings and minutes. This would include composing, printing, photocopying, scanning, mailing, etc.
  • Complete various family and children services, including tracking and/or court forms, inputting children's service data, and preparing reports and statistical records
  • Compile, input, prepare, and analyze statistical data for family service programs.
  • Liaise with other CAS's and external sources on behalf of the Child Protection team, as needed.
  • Access and update information using various agency information systems (Matrix, Outlook, CPIN etc.).
  • Coordinator and participate in team meetings and, when required, in other branch or Agency meetings; prepare agendas and take meeting minutes
  • Perform other duties as assigned.

Qualifications:


  • Post-Secondary degree/diploma in an Office Administration or related program.
  • 2 years of related experience in administration working with a community agency.
  • Working knowledge of Child Youth and Family Services Act (CYFSA) is an asset.
  • High proficiency in Microsoft Office Package (Word, Excel, Outlook, and PowerPoint, and CPIN).
  • Experience using complex database systems, case management systems,
  • Excellent verbal skills to liaise with a number of contacts including potentially hostile clients and referring agents.
  • Comprehension of French or another language would be considered an asset
