Administrative Assistant (4 Months)


InnoTech Alberta is seeking a detail oriented individual with a client support focus to play a critical role in supporting the administrative needs for our organization.

Intrigued? Here's some more information about the position:
Reviews, drafts, proofs and maintains departmental correspondence, minutes, reports and other relevant departmental documents
Coordinates external committee meetings including drafting agendas, minutes and other relevant documents
Performs the administration and management of departmental datasets
Assists in timely delivery of departmental deadlines
Coordinates information for decision making
Coordinates and manages the scheduling and travel arrangements for internal and external departmental meetings.

Inclusive of sending out meeting requests, room bookings, technology requirements, briefing notes, agendas, refreshments, catering and other details as required.

Coordinates travel arrangements for department staff
Performs financial recording and record keeping
Addresses departmental records management issues and ensures departmental compliance with company policies and procedures
Support the design and execution of department social events
Delivers administrative support for special projects
Performs front desk and reception duties as required


Qualifications:
Diploma from a recognized post-secondary administrative program in Business Administration ( Extensive work experience can be substituted for education)
Minimum of 5 years of experience in an office environment
Demonstrated ability to proactively manage the administrative needs of a team
Ability to adapt to change and work in a team environment
Strong organizational and multi-tasking abilities
Excellent interpersonal and communication skills
Experience in establishing and maintaining good working relationships with internal and external stakeholders
Attention to detail
Note taking ability
Knowledge of Microsoft Suite, including Word, Excel, Power Point, and Outlook
Proven ability to learn new digital systems
Self-assured, confident and result-oriented
Able to work flexible hours
Experience in records management is desirable
