Job Summary:


We are seeking a development assistant to support the VP, Development and the Development team by assisting in various aspects of project management and coordination throughout the project lifecycle.

The role will encompass tasks ranging from documentation management to meeting coordination, akin to an executive assistant, contributing to the smooth execution of development projects.

This position requires a detail
- oriented and self-motivated individual who can effectively collaborate with internal and external stakeholders, ensuring project schedules, budgets, and documentation are managed efficiently.


Key Responsibilities:


  • Collaborative Coordination: Assist the Development team in meticulously overseeing project activities, encompassing quality control, scheduling, budgeting, and documentation management.
  • Meeting Facilitation: take care of coordinating meetings, crafting comprehensive agendas, capturing accurate minutes, and ensuring seamless distribution of essential documents to all stakeholders.
  • Meticulous organization: maintain wellorganized project files, encompassing drawing submissions, change requests, schedules, and Request for Proposals (RFPs)
  • Informative Status Reporting: prepare and disseminate insightful status reports, keeping all stakeholders informed of project progress and milestones.
  • Stakeholder Engagement: Liaise effectively with internal departments, partners, consultants, and contractors to uphold project schedules and financial parameters.
  • Clear communication: Establish and nurture productive communication channels with consultants, key internal stakeholders, and external parties throughout the projects' lifecycle.
  • Proactive Followup: Demonstrate initiative by tracking and following up on deliverables, ensuring that tasks are completed within predefined timelines.
  • Financial Documentation: Collaborate with accounting and consultant to manage invoices and financial records, providing accurate updates to the VP, Development as needed.
  • Consultant collaboration: under the guidance of the VP, Development, gather, review, synthesize, and present consultant agreements.
  • Regulatory Expertise: stay attuned to evolving bylaws, development regulations, and building codes, ensuring that projects align with the latest standards, with the VP, Development a guiding reference.
  • Industry Insight: conduct comprehensive market research, generating valuable insights into competitive projects and emerging industry trends.
  • Onsite Engagement: Actively participate in site visits, updates, occasionally requiring travel to project locations.

Qualifications:


  • Possess two to three years of related coordination within a development or construction sphere; with exposure to multi
- family residential projects being a value asset.

  • Hold a relevant undergraduate degree, preferably in Commerce/Business, Urban Land Economics, or Engineering.
  • Thrive in a collaborative environment, adapting adeptly to diverse communication styles and contributing positively to team dynamics.
  • Exceptional time management skills, and a knack for managing competing priorities and tight deadlines.
  • Demonstrate full mastery of the Microsoft Office suite; familiarity with PDF management software; proficiency in Auto CAD considered advantageous.
  • Display high motivation, organizational finesse, and an unwavering commitment to realizing project team goals and directives.

Salary:
$50,000.00-$65,000.00 per year
