Position Summary
This role will maintain master control for policy management, including coordinating a review schedule and ensuring compliance.
The Policy and Governance Lead will provide support to the Governance Specialist and Corporate Secretary to provide advice and act as a resource to the Board and committees to ensure the maintenance of corporate records and compliance with Board policies and processes, governing documents, and applicable laws.
The role functions within legislative requirements, policies and procedures, and the Mission, Vision, and Values of Mosaic Primary Care Network and contributes to the accomplishment of the strategic priorities.
Key Responsibilities
Policy, Procedures and Guidelines
- Serves as a primary point of contact for the PCN's policy development and revision process; advises on the possible interaction between proposed policies with other existing policies outlines in the Administrative Policy Manual and Board of Directors Policy Manuals.
- Guides and facilitates the formulation, review, publication, and implementation of governance and organizational compliance policies and procedures, including recommendations for the involvement of key stakeholders, and collection of feedback on proposed policy revisions.
- Manages the internal and external landscape to identify gaps in internal policies and ensure compliance with the Policy Framework, legislative requirements and Mosaic PCN's collective agreement.
- Performs research and analysis of policy concepts, complex policy issues, possible legal complications, and the impact of proposed policies and policy revisions on governance and organizational compliance.
- Drafts and/or oversees the development of policy drafts for review and approval; coordinates submission of policies to the appropriate administrators for review and approval.
- Develops and maintains resources that support policy development, implementation, evaluation, and review.
- Communicates policy changes and revisions to the company and/or appropriate business unit and retains appropriate records within the policy library.
- Ensures policies are published promptly and in a format that is userfriendly, consistent, and compliant with requirements; maintains a schedule for the routine review and revision of existing policies.
- Managing and coordinating policy and directional materials review schedule.
- Ensures there is fulsome education among Mosaic PCNs staff regarding policies and the policy development process.
- Coordinates with Learning and Development business unit to coordinate learning activities.
This role supports the Governance Specialist and Corporate Secretary in the following areas:
- Apprise board members regarding governance trends and developments through the provision of briefing materials to assist Mosaic PCN.
- Aid in the implementation of Board decisions, by acting as an advocate for the board with management concerning roles and accountabilities.
- Manage aspects of Board work including organization of meetings, tracking action items, document support, and arrangement of payments for Board Directors.
- Manage documentation, submission and approval requirements of key funders and stakeholders.
- Manage the administration of the board portal, and maintains a thorough knowledge of its functionalities to gain further efficiencies in supporting the Board and committees meeting process.
- Establish the organizational policy management systems and procedures to ensure effectiveness and efficiency; identifies and recommends improvements and supports the implementation of the system.
- Manages and coordinates a policy review schedule.
- Maintains records and filing systems for reference on existing and new policies, procedures and other directive materials.
- Establishes and implements policies and procedures regarding document storage
