Reporting to the Manager, Community Services Support or delegate, responsible for providing clerical and administrative support and resource assistance to both Supervisors and staff to ensure that the day-to-day operations of Recreation facilities or the Operations Centre run efficiently.
Responsibilities:
- Providing administrative support and resource assistance including preparing correspondence, preparing presentations, preparing documents and forms, coordinating and scheduling meetings, updating posting boards, setting up purchase requisitions
- Preparing and formatting documents ensuring the Corporation's accessibility standards are met
- Providing clerical and general office duty support including reception and customer service, receiving and screening inperson or telephone inquiries, shipping and receiving, distributing mail and courier packages, maintaining office supplies, arranging catering
- Maintaining departmental records including assigning numbers to files, preparing and maintaining file indexes, acting as resource for staff on records management and filing requirements, administer retention process, and updating records management system
- Maintaining and updating databases and worksheets
- Providing administrative and clerical support to the Sponsorship & Advertising Program by preparing legal agreements, tracking agreement approvals, preparing and updating billing spreadsheet and database updates.
Requirements:
- Knowledge and skills generally associated with the completion of a 2 year diploma in Office Administration from a recognized community college, plus two (2) years of relevant administrative, reception and customer service experience, or have an equivalent combination of education and relevant experience
- Knowledge and experience preparing documents to meet the Corporation's accessibility standards
- Basic knowledge of corporate records management system and registration software would be considered an asset
- Welldeveloped analytical, research, reasoning and communication skills
- Excellent customer service and communication skills to deal effectively with the general public and staff
- Good organizational and administrative skills and proofreading abilities
- Ability to work independently, quickly and competently in a multitask environment with frequent interruptions and ability to work under pressure in order to meet deadlines
- Possess personal qualities of maturity, tact, discretion and have a willing and cooperative attitude
