Role impact:


To support a number of management staff in administrative tasks such as but not limited to, invoice processing, accounts payable & accounts receivable tracking, preparing and distributing documentation and reports, purchase order and tenant chargeback support, sales tracking, issuing pass cards, while also prioritizing workload and completing on an accurate and timely basis in order to ensure management have the relevant materials required to operate their specific areas of the business.


What you will deliver:


  • Provide AR support by tracking tenant chargebacks and associated administration;
  • Maintain the departmental purchase order system by reviewing purchases, coding and/or invoicing appropriately, and issuing Purchase Order numbers to ensure accurate General Ledger account coding and appropriate purchasing;
  • Ensure accurate and timely processing (manual and electronic) and filing of accounts payable documents by reviewing material for appropriate coding, approvals and inputting to the system in order to provide departments with current and accurate expense information for the purposes of variance reporting and budget preparation;
  • Collect sales data as needed and follow up with clients to ensure monthly sales reports are accurate and generated in a timely manner;
  • Prepare written documentation such as, but not limited to, correspondence, reports, statements and agreements on a timely and accurate basis to ensure management have all documentation needed to support their specific projects;
  • Provide and maintain courteous, professional and efficient service to internal and external clients and business associates by responding to requests for information and redirecting inquiries beyond own scope of expertise in order to maintain good levels of customer service;
  • Support Manager, Tenant relations with tenant communications;
  • Track key dates and deadlines for various agreements, projects and permits, maintaining records and updating as needed;
  • Provide and maintain courteous, professional and efficient service to internal and external contacts by responding to requests in collaboration with the management team;
  • Miscellaneous pass card duties as needed, including programming, scheduling and reporting;
  • Recommend and implement enhancements to current procedures that will improve operational effectiveness;
  • Support receptionist duties as needed;
  • Other duties as assigned.

What you need to succeed:


  • Grade 12 or equivalent
  • Certificate/diploma in Office Administration an asset
  • Minimum 3 to 5 years related work experience
  • Real Estate/Property management experience an asset
  • Computer literate and fully proficient in Microsoft Word, Excel and PowerPoint
  • Solid organizational and prioritizing skills
  • Strong research and analytical skills
