Position Summary


As an integral member of our team, the Operations Coordinator plays a crucial role in providing comprehensive support, coordination, and administrative assistance across a diverse range of projects within our Operations portfolio.

In this dynamic role, the Operations Coordinator will collaborate with various stakeholders, manage project logistics, and ensure efficient communication and execution of key initiatives such as facilitating facilities renovations and our hybrid workplace plan, administering a Client Relationship Management platform (CRM), and contributing to policy development and management.

Reporting directly to the Director of Operations, this position actively supports the work of both the Director and Project Manager within the Operations department.


Key Responsibilities

  • Responsible for all administrative duties related to maintaining Health Research BC's CRM:


  • Accounts

  • provides access to new users, regularly reviews current user requirements, and closes accounts as required;
  • Training provides training to new users and to all users on newly added modules/features;
  • Updates works with the solution provider as updates are made, including the development of communication material for all users;
  • Change management works closely with the Project Manager, Operations to support change requests on the design or features in the CRM.
  • Provides administrative support by coordinating projects managed by the Operations team, including:
  • Supporting the development of project plans, change management plans, risk management plans and other project materials
  • Supporting the design, implementation and ongoing management of systems to plan, track and report on progress towards project and organizational goals and objectives
  • Developing and communicates meeting material, tracks and reports on action items and deliverables
  • Supports communication activities including the department's intranet pages.
  • Responsible for coordinating all activities related to Operational policy development, filing, tracking, revisions and the approval processes.
  • Works closely with all members within the Corporate Services/Finance team, as well as teams across the organization.
  • Provides administrative support to the Director, Operations; calendar management and travel.

Requirements:


  • 5 + years experience in an administrative capacity.
  • Bachelor's in business administration or project managment, or equivalent experience.
  • Experience/familiarity with electronic information management, specifically CRM solutions.
  • Technically savvy; quick learner when it comes to software programs that support organizationwide functions.
  • Knowledge of concepts and processes with databases and information management systems.
  • Strong computer literacy, including full competency in Microsoft Office 365 (Outlook, Word, Excel, Microsoft Teams, OneDrive, Power Point, etc.).
  • Excellent attention to detail, strong organizational skills, and problemsolving ability.
  • Superior written and oral communication skills and effective listening skills.
  • Demonstrated ability to relate constructively and professionally with others.
