    Job Summary

    The Arts Student Engagement Officer is responsible for developing, implementing, and managing effective student engagement strategies in support of a culture of learning, leadership, involvement and service for all students in the Faculty of Arts at UBC. This role provides expertise and guidance around the development and management of student engagement programming for the Arts first year experience, as well as for students in the upper years of their undergraduate degree. The incumbent manages the planning, delivery, and review of Arts student engagement programming and initiatives, manages a team of student employees and volunteers, and is responsible for linking Arts and broader UBC strategic student plans into the Arts student engagement framework.

    The Arts Student Engagement Officer is instrumental in the implementation of a comprehensive Arts student engagement framework, and works in close partnership with other Arts staff and faculty, student organizations (Arts Undergraduate Society/Alma Mater Society), alumni, and community partners to deliver student engagement programming and initiatives across Arts. The role also evaluates student engagement programming across the faculty, identifies opportunities for Arts to respond to emerging student engagement needs, and develops new pilot initiatives that emerge from gaps identified from Arts students and community.

    The incumbent requires the ability to work flexible hours, including some evenings and weekends.

    Organizational Status
    The Arts Student Engagement Officer is supervised by the Associate Director, at the Centre for Student Development and Leadership, and receives direction from the Associate Dean, Students in the Arts, Dean's Office. The incumbent will work in collaboration with Arts student service departments (such as Arts Academic Advising, Arts Co-op), Academic units and programs across the faculty as well as student organizations and staff at the Centre for Student Development and Leadership. The position will supervise and train student staff and volunteers and provide student engagement expertise and guidance to staff and faculty members across the Faculty of Arts.
    Work Performed

    Manages the ongoing development and implementation of strategies to create a culture of engagement, leadership, involvement, learning, and service for students across the Faculty of Arts.

    • Develops, assesses, and implements engagement strategies in support of student development and leadership in Arts.
    • Manages and informs an Arts student experience framework that is in alignment with approaches and priorities identified by the Faculty of Arts and the UBC Student Strategic Plan.
    • Oversees the research, design, delivery, and assessment of Arts student engagement learning resources, programs, initiatives, and pathways; these include transition and orientation programs such as Imagine UBC, the Arts Peer Academic Coaching program, student leader development, and related initiatives embedded in core student engagement activities in Arts.
    • Provides expert advice to Arts students, faculty, staff, and community partners on development and participation in student engagement initiatives; collaborates with partners across the faculty of Arts to develop customized, Arts-specific events and programs for students and alumni.
    • Researches and develops new approaches and resources for Arts student community engagement and community partnerships, including facilitating events and programming that connect students with alumni and community.
    • Participates on cross-campus student engagement committees and communities of practice across the university.

    Designs and delivers programs and initiatives for Arts students at all levels of study with a focus on building community and a sense of belonging, identity and values development, equity, diversity, and inclusion, leadership, personal and professional development, academic success, and skill development in close consultation with academic, community, and student partners.

    • Develops engagement models, designs engagement and leadership curriculum, and evaluates the impacts of student engagement programming across the Faculty of Arts
    • Manages and develops staff, including professional and student staff, ensuring effective delivery of programming; develops capacity to deliver program content and lead and create new initiatives.
    • Advises Arts faculty on incorporating student engagement and development into curricula and academic programs.
    • Designs and leads workshops and mentorship sessions for Arts students around a wide range of engagement and development topics including professional school interviews, networking, career exploration, professional skills development,
    • In collaboration with Arts and university partners, designs, delivers, and evaluates academic coaching programs and support workshops including training and mentoring student leaders.
    • Engages in and resolves complex matters related to the implementation of student engagement programming and initiatives; escalates issues to Arts senior leadership as appropriate.
    • Identifies opportunities for Arts to respond to emerging student engagement needs and issues; leads events and initiatives to explore these issues and recommends and develops new pilot initiatives in Arts that emerge from gaps identified from Arts students and community input and research findings.
    • Develops and manages special projects as operationally required.

    Develops, assesses and implements administrative systems in support of student engagement and development in Arts.

    • Manages the annual cycles of Arts student engagement and experience programs such as orientation and transition, including Imagine Day, Arts Peer Academic Coaches, Aspire Mentorship Program, the Graduating Student Leaders reception, and others; this includes outreach and communications, event design and management, and post- programming evaluation.
    • Designs and manages recruitment plans to hire student staff and large teams of student volunteers for Arts student experience programming; this includes overseeing timelines, developing marketing strategies, leading information sessions and oversight of hiring and onboarding process.
    • Manages ongoing development of Arts student engagement programming administrative processes and systems including effective program documentation and communication.
    • Manages confidential information for employees and students, and abides by UBC privacy rules set out in the Freedom of Information and Protection of Privacy Act (FIPPA)
    • Oversees a database of Arts student engagement activities to facilitate event promotion, management, and evaluation.

    Consequence of Error/Judgement
    Errors in judgment may cause serious results and identifiable deterioration to faculty and student relations; reduce services; cause embarrassment; increase event and program costs; and negatively impact the Faculty of Arts reputation and accountability with organizations, students, faculty and staff. Decisions have an impact on the development of relationships both within the university and in external communities. Providing incomplete or inaccurate information to students can have a strong adverse impact on UBC's ability to recruit students and on students' ability to achieve their academic goals. Poor management of staff or volunteers may lead to inefficiency or discontent. Inability to work cooperatively with students, staff, and faculty will jeopardize the effective provision of services to students.
    Supervision Received
    With supervision from the Associate Director, Centre for Student Development & Leadership and under the general direction of the Associate Dean, Students in the Faculty of Arts. The incumbent must exercise resourcefulness, initiative, and excellent decision making in the coordination and delivery of student engagement and learning programs. The Officer will exercise considerable judgment and innovation in developing and implementing programs and supporting student learning.
    Supervision Given
    Supervises student employees and volunteers and may supervise staff. Will be required to take responsibility for projects that are substantially carried out by others, including faculty, staff, and student volunteers who are not directly supervised by the coordinator. Must work cooperatively with other staff, students and faculty to ensure that common goals are established and achieved.
    Minimum Qualifications
    Undergraduate degree in a relevant discipline. Minimum of three to four years of related experience, or an equivalent combination of education and experience.

    Preferred Qualifications

    Masters degree in a relevant discipline preferred. Experience working in a post-secondary environment in program development and program management, particularly in the areas of student engagement, development & leadership. Experience managing complex programs including development, planning, and implementation of ideas collaboratively with stakeholder groups. Expertise in designing and delivering educational workshops and managing large events. Knowledge of the field of leadership development, career development, student development and related literature and research an asset.

    Exceptional communication skills, both verbal and written. Ability to communicate with cross-cultural sensitivity in an intercultural environment. Ability to lead others and to function as an effective team member. Ability to work with and support a diversity of people in a calm, respectful, and effective manner. Demonstrated ability to work collaboratively with a variety of different stakeholders. Previous experience with supervision of student staff (including hiring, training and performance management) would be an asset.

    Ability to plan ahead, anticipate problems, and meet deadlines. Ability to analyze problems, think critically, identify key information and issues, and effectively resolve them.
