Intake and Volunteer Coordinator

Position Summary:


As a member of Burlington Food Bank's team, the Intake and Volunteer Coordinator plays a key role in developing a team of volunteers which enables the organization to deliver on its mission of feeding the hungry in our community in a dignified and timely manner.

Directly accountable for overseeing volunteers, volunteer management and direct to client services.


Reporting Relationship:
The Intake and Volunteer Coordinator reports to the Burlington Food Bank Manager.


Hours: 30 hours per week including some weekend or evening hours.


Key Accountabilities

Recruitment and Training: Identifies and onboards prospective volunteers in a variety of roles at BFB

  • Develops a supportive and inclusive team that works together effectively and respectfully
  • Responsible for recruitment, training, motivating, evaluating, retaining and celebrating all volunteers

Volunteer Coordination: Oversees the day-to-day coordination of Food Bank volunteers:

  • Using a Volunteer Management System (VMS) (currently Better Impact) ensures that the Food Bank is properly staffed in all aspects of service
  • Recognizes gaps in schedule and uses VMS to bring on new volunteers as required

Intake Services: Oversees and evaluates the intake process ensuring effective delivery of services and all efficiencies are in place

  • Trains and evaluates volunteers that have direct to client interaction for a dignified experience for anyone that requests assistance
  • Using Link 2 Feed or other Client Management Systems to record relevant details for Food Bank users, including demographics and visit frequency

Program Delivery: Takes responsibility for all program delivery ensuring clients are receiving the best service possible:

  • Regularly assess the delivery model and steps to ensure that all efficiencies are being met
  • Organize tasks for volunteers throughout their shifts
  • Engages volunteers in the ongoing evaluation of programs to provide volunteers with meaningful engagement in their roles
  • Develops polls, questionnaires, etc. for clients to provide feedback of their experience
  • Prepares delivery schedules and shares with drivers

Communication:Coordinates and contributes to communication both internal and external communications for all stakeholders including staff, volunteers, clients and donors:

  • Regularly communicates with all volunteers regarding events and opportunities that pertain to BFB
  • Provides notice to clients regarding any changes or disruptions in delivery models or services

Events and Activities: Coordinates and supports other BFB events including the Ride to Provide, Hunger Action Month and new program events along with other activities as required

Other duties as assigned

Qualifications

- Post secondary education or equivalent combination of education and experience in working for not for profit, food security or volunteer management.

- Compassionate and empathetic towards individuals facing food insecurity, homelessness and marginalization.

- Strong organizational, communication, and leadership skills.

- Knowledge of food safety regulations and best practices.

- Ability to work collaboratively with diverse groups, including volunteers, staff, donors, and community members.

A second language is an asset.

- Crisis management education and/or experience in this field is an asset.

- Experience in the not for profit area, food distribution, or a related field is an

Salary:
$34,000.00-$40,000.00 per year

Expected hours: 30 per week


Schedule:

  • Monday to Friday
  • Weekends as needed
