Who are we?
About the Role:
The Administrative Assistant is responsible for supporting the HR department by performing administrative functions and assisting with HR-related duties.
Tasks will include providing daily coverage of lunch and breaks for reception/ switchboard, assisting with recruitment and onboarding, maintaining employee records, creating and maintaining presentations and databases, coordinating workplace inspections and company events and supporting the HR team with various projects and initiatives.
The Administrative Assistant plays a key role in helping the HR department run smoothly and efficiently and supporting the organization's overall mission and goals.
Responsibilities include, but are not limited to:
- Provide backup coverage for reception/switchboard (daily
- lunches and breaks and time off)
- Managing office supplies, including ordering and stocking office supplies as needed
- Monitor daily and monthly attendance reports and completing regular data audits
- Prepare and maintain HR documents, HRIS system and other employee databases
- Assist with administrative components of the health and safety system, including coordinating workplace inspections and training
- Assist with maintaining the training matrix and proof of training documentation.
- Provide administrative support during annual employee evaluations.
- Assist with employee benefits and pension plans, including shortterm disability for hourly employees.
- Assist with coordinating company events such as training sessions, information sessions and company BBQs.
- Perform other duties and HR projects and initiatives as assigned.
Preferred Qualifications and Skills:
- Post-Secondary Education in Business Administration, Human Resources or equivalent
- Prior administrative or office experience is considered an asset
- Ability to effectively communicate with all levels of management, employees, and outside contacts
- Extensive experience with Windows and Microsoft Office programs
- Attention to detail and willingness to learn
- Strong organizational and time management skills with the ability to manage workload efficiently and effectively and adapt to changing priorities as needed
- Proven ability to maintain confidentiality and handle confidential information with discretion
Location: 159 Roy Blvd, Brantford, ON, N3R 7K1 (On-site, 5 days a week)
Hours of Work*:
Between 24-30 Hours/ Week (Ideally Monday - Friday, 10:30 am - 5:00 pm)
