Position Summary
Accountable for managing site conditions, contractors tenant relations and reporting status on a regular basis - on call availability 24 hours daily.
Responsibilities:
The specific duties and responsibilities for this position include but are not limited to the following:
- Prepare comprehensive monthly reporting for owners and executive team on all project and tenant matters;
- Developing tenant relationships / customer satisfaction;
- Maintain timely inspection requirements for all equipment, utilities and services at each property;
- Generate purchase orders for all required work and track invoice processing through completion;
- Assisting with responding to tenant queries to ensure a full resolution;
- Awareness & tracking of lease maturities and changes to site or existing tenants leases which would create value;
- Assisting with collections and remittance of tenant sales reporting and insurance coverage requirements;
- Liaise with other departments in resolving tenant issues and addressing their needs (eg. Lease renewals, assignments, exclusives, billings etc.);
- Process improvements participate in / lead the process change with respect to tenant turnover;
- Percentage Rent billings, and tenant setups;
- Create value (reducing costs or increasing revenues) through the use of:
- Environmentally friendly initiatives
- Volume discounts or leveraging the size of the portfolio
- Technology
- Process improvements/efficiencies
- Customer service/tenant relations
- Operating excellence
- Establishing and taking advantage of contractor discounts
- Manage the physical aspects of the properties within your portfolio;
- Coordinate all tenders for property operations;
- Set and maintain all property annual budgets and any adjustments as required;
- Review and approve all invoices;
- Ongoing discussions of variance reports with supervisors to work towards maintaining budgets.
- Coordinate with Insurance Brokers/Agents and Legal Entities regarding all accident claims;
- Coordinate with Promotions Company and participating tenant promotional events and budgets;
- Liaise with Accounting in CAM reconciliation and other property related items;
- Continue to achieve relationships with new and existing tenants;
- Ensuring contractors obligations outlined within contracts are maintained.
- Responsible for property budgeting (operating capital), operations cash management, and
- Any other duties assigned by Regional Director, Property Management, Senior Director,
- The portfolio of properties managed may change at any time;
Academic/Professional Requirements:
- Fouryear Bachelor's Degree and or Professional Designation;
Required Skills/Experience:
- Must have valid driver's license;
- Properties are located primarily throughout the Greater Montreal Area with some remote sites
- Minimum 4 years experience in Property Management;
- Must be fluently bilingual in both written and spoken French and English;
- Effective planner for not only prioritizing work activities but also anticipating shifts in priorities;
- Excellent communication skills with the ability to effectively communicate across all levels within, as well as outside the organization;
- Effective skills in analyzing and interpreting needs of the tenants, leases and financial information
- Ability to read and interpret leases;
- Provide leadership and direction to all contractors working at the properties
The Property Manager must be client focused, advocate and communicate a positive image of the company, both internally and externally.
The Property Manager shall take accountability for decisions made and conduct oneself in a respectful and ethical manner in representing the Trust's interests.
The Property Manager shall demonstrate entrepreneurialism and behave like an "owner" in carrying out daily tasks and responsibilities; demonstrating creativity and resourcefulness in achieving desired results.
The Property Manager is expected to be a team player and work effectively with colleagues and associates in terms of input, sharing of ideas and working to achieve common goal.
