Job Summary


Provides complex public services support to the Course Reserves Supervisor, Koerner Library including acting as contact for Reserves Units across the library system and maintaining the daily service routines for the Koerner Library Reserves Unit.

Provides clerical and administrative support to the Circulation Librarian. Performs Information & circulation desk duties at the senior support staff level as assigned. Assists with special projects as required.

Organizational Status

Works independently under the direct supervision of the Course Reserves Specialist, Koerner Library.

Works closely with faculty providing direction regarding Course Reserves policies and procedures and processing faculty requests, Oversees and assists in training junior Borrower Services staff.

Under general supervision of the Public Service Supervisor while assigned to the Information & Circulation Desk.

Work Performed

  • Liaises with branch staff providing training to branch Course Reserves Units. Acts as a source of information on Course Reserves policy and procedures to facilitate systemwide consistency in Course Reserves services. Maintains the Reserves' systemwide course responsibility database.
  • Reviews and accepts faculty requests for Course Reserves. Advises faculty on relevant policies and procedures and copyright restrictions. Informs faculty of options when copyright restrictions prohibit the use of materials. Processes institutional and private faculty materials including assembling, labelling, tattletaping and binding/mending materials. Creates brief Course Reserves bibliographic records online. Edits online records with incorrect statuses, material codes, locations, holdings or other errors. Follows up on patron access problems including investigating missing Course Reserves' materials during the term.
  • Processes eBooks and ensure that the links in LOCR work and that the library still has access to them.
  • Processes the requests for streaming media. Searching various databases to locate a title and availability for purchase. Provides information to Media Librarian. Digitizes DVDs after checking to make sure they are not streaming commercially. Connects with Digital Programs and Services Librarian for permission to digitize. Uploads digital files to Kaltura and contact LT Hub to have a channel created.
  • Maintains the Course Reserves faculty contact database. Performs an annual faculty mailout to inform faculty of the status of their Reserves materials. Weeds and removes Reserves materials as requested. Returns personal materials, modifies or deletes online catalogue records as required.
  • Oversees Borrower Services Traces requests including executing online catalogue searching, delegating tasks as appropriate, changing the record status online for missing materials, and notifying patrons when the status of traced material is updated.
  • Oversees Borrower Services Rush Cataloguing requests including executing online index and bibliographic file searching, alerting Technical Services of new Rush Cataloguing requests, receiving and processing requested material and investigating missing Rush Cataloguing material.
  • Maintains unit statistics for Course Reserves and departmental statistics for Borrower Services Traces and Rush Catalogues.
  • Arranges and performs endofterm Carrel Card service termination in Koerner Library. Notifies patrons of service cessation. Clears items from patron records. Bills patrons for nonreturn of carrel cards.
  • Assists with planning, supervision and execution of special projects (e.g., participating in the implementation of a new Library Management System including training, testing and documenting the new system; developing and producing signin sheets and desk schedule forms; and creating and updating manuals online and inprint).
  • Works at the Information & circulation desk performing circulation duties at the senior support staff level. Issues and renews all categories of library cards. Provides information, direction, and reception services. Operates the Information & circulation desk cash register and debit machine.
  • Oversees junior library staff and student assistants while working
