The document technician performs technical tasks related to the acquisition, processing, operation and control of information resources.

It applies and collaborates in updating the policies, regulations and procedures in force, and enforces the regulations of the Documentation Centre.

It participates in the reception of users, in the various operations of the counter and in the reference service offered by the Documentation Center.

It also participates in the various ancillary missions entrusted to the Documentation Centre.


Status:
Unionized position - Permanent full-time

Schedule:
Full-time - 35 hours per week

Salary:
from $23.82/hour to $30.82/hour (depending on the salary scale in effect in the collective agreement)


RESPONSIBILITIES

Performs technical document management tasks, including:

  • Intellectual processing of documents;
  • Physical processing of documents.
  • Acquisition of documents;
  • Actions relating to the selection and acquisition of all documents (physical media and databases); Pruning;
  • The enhancement of collections and services.

Provides counter service, including all tasks related to:

  • Reception and orientation;
  • The circulation of documents and other equipment;
  • The reference service;
  • When the Documentation Centre is closed.
Participates in the identification of members of the College, in particular by:

  • Taking photos for student cards, teaching staff and administrative staff;
  • Printing and distribution of student and employee cards;
  • Updating Agora employee profiles.
Performs tasks related to the general operation of the Documentation Centre, including:

  • Purchase of stationery;Petty cash management;
  • Receiving postal mail;
  • Supervision of internships;
  • Reporting malfunctions of the bibliographic management software and monitoring the modalities of resolution of malfunctions;
  • Participates in the various projects of the Documentation Center.
Performs tasks related to the management of archives, including:

  • Sending documents during periods of semi-activity and to the final archives;
  • The completion of administrative forms and slips associated with the transmission of archives;
  • Codification of files;
  • The creation and maintenance of guides, procedures and reference documents for the use of the College's administrative staff;
  • Management of the deposit space for transfer forms on the dedicated server;
  • The design of inventory file templates.
  • Management of Sharepoint and our Agora intranet.
Performs other related duties.


QUALIFICATIONS

  • Diploma of College Studies (DEC) with an appropriate field of specialization or a diploma whose equivalence is recognized by the competent authority;
  • Relevant experience (in education, an asset);
  • Excellent command of oral and written French and English;
  • Good knowledge of Microsoft Office suite (Word, Excel, Outlook, PPT).

Communication skills and an appreciation of teamwork are also essential to this function.
This role involves interaction with internal and external clients and partners nationally and globally. Professional competency in the English language is therefore a requirement of this role.
