About the Position:
The Associate, Accounts Payable is primarily responsible for, reviewing and coding purchase orders and invoices for properties, development projects and legal entities in a timely manner; process cheques/EFT/wires working with employees and vendors to resolve all accounts payable inquiries in a timely manner; organizing and maintaining A/P files and other documents, as well as assisting in other accounting functions as necessary.
Key Responsibilities:
- Ensure purchase/change orders and invoices are correctly processed, coded and documented properly in according to A/P policies and procedures
- Monitor status of invoices, resolve accounts payable issues and answer internal and external inquiries
- Track and process employee expense reports
- Respond to vendor inquiries and communicate with vendors and internal departments to ensure invoices are paid on a timely basis
- Maintain vendor files
- Reconcile vendor statements as needed
- Update A/P procedures as needed
- Prepare regular payment runs, print cheques and file backups and process rush cheques as required
- Prepare and process electronic fund transfers for vendor payment
- Work closely with teams inside the department, across the organization and with external groups as required
- Organize daily cheque reports to account for all processed cheques
- Distribution of cheques via post and maintain cheque security at all times
- Assist with yearend audit, preparation of accruals and account reconciliation
- Other administration duties as assigned
Job Requirements:
Education and Experience:
- Accounting diploma and/or an equivalent combination of education and/or experience
- At least 2 years of experience in accounts payable
- Experience in the investment and/or developments industry are considered a strong asset
- Strong computer skills including Microsoft Office (Excel, Word), Payscan and Yardi are required
Qualifications:
- Ability to effectively manage high volume of invoices and purchase orders regularly
- Superior attention to detail, organizational skills, and ability to work under tight timelines
- Ability to work independently
- A professional demeanor and have strong verbal and written communication skills
- Provide superior customer service to internal business units
- Able to listen and understand and respond appropriately
- Selfmotivated individual who is proactive and takes initiative
- Superior organizational and time management skills in order to multitask/prioritize and work under tight timelines
- Demonstrates a high degree of integrity, diplomacy and confidentiality
