SCOPE

Reporting to the Manager, Cooperative Education, the incumbent leads a team of Coordinators, monitors the workflow/load of the team, ensures smooth operations and task completion, assists implementation of continuous improvement initiatives.


PRIMARY RESPONSIBILITIES

  • Functionally supervise, lead, support, and monitor workflow of a team of Program Coordinators to ensure the Institute goals and objectives are achieved and ensure deadlines and task completion expectations are met in line with established KPIs. Troubleshoot and resolve issues (interpersonal, technical, programmatic, etc.), coordinate professional development opportunities for the team, and provide support, advice or intervene on sensitive issues as needed. Track team performance through activity trends (student, employer, etc.) and by other KPIs as indicated by the Manager.
  • Work with the Manager in ensuring appropriate onboarding and continuous training for Coordinators as required. Monitor absences and approve time away as required, ensuring alignment with the Manager's vision, planning for service disruptions and ensuring adequate coverage.
  • Coordinate own portfolio of programs (students, employers, faculty colleagues).
  • Monitor and track business development and relationship management activity of Coordinators with regards to external employer partners. Work with Coordinators to maintain their business development and employer relationship management.
  • Monitor, followup with and act as the advocate for students and/or employers with complex or particular cases that need to be assessed by the Manager. Ensure that the Manager is advised of issues and/or concerns related to key stakeholders. Facilitate case analysis and discussion. Participate in developing strategies and activities to help with student retention.
  • Oversee and administer the admission process for the portfolio of programs under the purview of the team, in conjunction with the Manager and the Operations team, as well as other partners across the university (Admissions, Faculties/departments, Recruitment, etc.).
  • Work in collaboration with other Team Lead(s), the Manager, and the Operations Supervisor to ensure consistency where possible on the activities related to students, employers and other key stakeholders. Ensure continuous improvement across all key metrics.
  • Support the Manager in conducting highlevel analysis and report preparation, market analysis for emerging markets, rules and standards assessment related to students, etc. Act as an additional resource between the Institute and departments to investigate growth opportunities in particular programs of study. Help with information gathering for the maintenance and growth of program areas. Monitor and communicate teamlevel job market information, compile best practices, assist in developing largescale job market strategies.
  • Keep abreast of university activities and the work of other teams, units, and departments that inform and support the work of the Institute with students and employers, bring the information and processes to the Institute and ensure their adherence (ACSD, ISO, SSC, GradProSkills, FAAO, CMS, CAPS, EL, Advancement, etc.).
  • Represent Institute at designated meetings, functions and on various committees and external meetings. Represent the Institute and the University at various activities, including orientations, events, workshops, etc. Attend and participate in the organization of outreach activities, networking, and industry events.
  • Access and analyse Institute data and statistics to provide reports and other information to internal and external partners, in conjunction with Coordinators and the Operations team to enable better decisionmaking.
  • During the absence of a Coordinator, act as a backup
  • Lead projects or initiatives at the discretion of the Manager. Perform other duties in support of the Institute.
