PURPOSE OF THE JOB:

This unionized position will support Asset Management in the delivery of construction, restoration, project management methodologies, administration, and procurement.

The objective is to enhance the capabilities of the department in the following key areas:

  • Assist the Asset Management Team with the implementation of project management methodologies throughout the life cycle of the project.
  • Project close out.
  • Support procurement of construction services through cooperation with LMCH Procurement department.
  • Administrative functions including but not limited to filing, maintaining project records, tracking of financials etc.
  • Supporting departmental communication through drafting notices to internal
- and external stakeholders, meeting minute taking and other related duties.


The role will be based in the main office, but travel to sites in the London will be required frequently.

KEY DUTIES/RESPONSIBILITIES:


  • Administer, coordinate, and support the tender process.
  • Maintain all contract files for Construction projects.
  • Prepare and administer communication materials for projects to tenants.
  • Liaise with contractors and setup site review meetings.
  • Assist Asset Management Team with coordination and project updates.
  • Assist in the contractor hand over, preparing signed off scope documents and maintaining these items in wellorganized filing system.
  • Liase with other LMCH employees on unit take over and unit completion.
  • Schedule meetings and prepare documents and minutes.
  • Assist with the issuance of contracts, purchase orders, letter of tender awards and regrets.
  • Ensure that appropriate payment certifications are on file and statutory declarations are attached when appropriate.
  • Ensure that each project has an appropriate administration file system.
  • Record invoices and assist in the preparation of financial tracking documents.
  • Collect, record, and monitor Contractors and Consultants WSIB Certificates of Clearance and Liability Insurance to ensure continuance of operational functions.
  • As required, retrieve drawings & project documents from Capital Work's archives.
  • Conduct various surveys, prepare spreadsheets for analysis, do research (books & Internet) on code & municipal requirements, product literature, company web sites, legislation.
  • Other assigned duties.

EDUCATION, EXPERIENCE, & QUALIFICATIONS:


  • Postsecondary diploma or certificate.
  • Two to three years' experience in a related field.
  • Knowledge of applicable legislation, including but not limited to the Housing Services Act, Residential Tenancies Act and the City of London Housing Division Notices and local policies.
  • Computer literacy, including effective working skills of MS Word, Excel, Outlook and Yardi software.
  • Excellent communication, interpersonal, relationship building, and customer service skills.
  • Ability to read construction contracts, specifications, Arch. Mechanical and electrical drawings.
  • Strong attention to detail and a high degree of accuracy.
  • Ability to record meeting minutes and proofread to ensure accuracy.
  • Knowledge of construction/technical and legal terminology/methods; contract administration including policies, regulations and procedures related to the tender process considered.
