Located in
Toronto, Ontario, the
Administrative Assistant is responsible for supporting the Canada ICI Toronto office operations and administration functions.

This position is a permanent,
full-time role that will report to the Managing Partner in Toronto, Ontario.

Responsibilities

  • Oversee and support all administrative duties and procedures to ensure smooth office operations;
  • Executive assistance provided to the managing partner, coordinating various corporate initiatives;
  • Manage and upkeep the managing partner's Microsoft Outlook inbox;
  • Perform receptionist duties including greeting visitors, answering incoming phone calls, offering guests coffee or water, and delivering excellent customer service to our clients;
  • Provide administrative assistance to the leadership team;
  • Receive and sort incoming/outgoing mail and deliveries;
  • Participate actively in the planning and execution of company lunches and events;
  • Review and approve office supply acquisitions, manage office and janitorial supplies inventory, and place orders and maintenance calls as necessary;
  • Identify opportunities and assist with designing and implementing office management policy and process improvements;
  • General housekeeping duties such as keeping the office in a clean and organized state, identifying items that need to be filed or put away, and notifying the building's maintenance staff of cleaning issues.
  • Deposit cheques for fees, fee summaries for review by the Mortgage Origination team; and preparation of commitment letters.
  • Prepare expense reports for management team members as required;
  • Design, implement and maintain filing systems;
  • Organize and manage all projectrelated documentation, information, and folders;
  • Maintain calendars, coordinate meetings, appointments, and book boardrooms;
  • Make travel and accommodation arrangements;

Education & Skills

  • Minimum of three (3) years of experience in office administration is required;
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, OneNote, Outlook, and PowerPoint;
  • Experience managing Microsoft Outlook inboxes is an asset;
  • Strong time management, organizational, and planning skills;
  • Ability to multitask and prioritize work;
  • Ability to type fast and accurately, with consistent formatting, proper grammar and spelling;
  • Exceptional attention to detail, problemsolving, and analytical skills;
  • Excellent communication skills in the English language, both written and verbal;
  • Strong interpersonal skills;
  • Ability to work under pressure, and ensure all tasks are completed on time and within company policy and procedures;
  • Handle sensitive information with the highest degree of integrity and confidentiality;
  • Strong team spirit and ability to work in collaboration with all members of the business;
