Wealth Management Operations

Job Purpose


As a member of Scotia Wealth Management Operations' centralized Managed Account Operations - Fee Processing, the position is responsible for delivering a high level of service to Scotiatrust and Scotia Asset Management L.P.

(SAM).

The incumbent is responsible for supporting internal clients through frequent contact and efficient processing of Fees while assisting in identifying opportunities for service improvement.


Key Accountabilities
Set up of Fee Diaries while ensuring a high degree of operational efficiency, and conforming to Bank and department regulations:

  • Effectively complete set up and maintenance of automated fee diaries based on approved client agreements/instructions for Scotia Asset Management (SAM) accounts and Estate and Trust accounts by printing and identifying discounts, fee schedules frequencies and anticipated market values. The incumbent contacts the originator for clarification if the agreements/instructions are incomplete or missing.
  • The incumbent identifies opportunities and manages fee setups on the semimanual fee database where fully automated processes cannot be applied through the review of established/available automated Fee Schedules and the Scotiatrust system/Fee system (ZIFP) functionality.
  • Effectively code exempted assets from fee calculations according to client agreements & instructions.
  • Control and maintain documents received from branches by logging document types/identifier into departmental database and filing documentation accordingly.
  • Maintain service standards and minimize loss situations by following department policies and procedures and escalating any contentious issues to the Manager/Senior Manager.

Develop and share technical knowledge by:

  • Continually expanding knowledge of Scotiatrust and SAM fees and processes by keeping current on procedural changes/updates and through cross-training initiatives.
  • Assisting the department with functions related to fee processing (Eg. reconciliations, adjustments, etc). The incumbent would assist with these functions through crosstraining initiatives and during unplanned absences
  • Assisting in the identification of opportunities to enhance processes.
Ensure a high quality of customer service is provided to all internal clients:

  • Contribute to the improvement of service levels and department reputation by maintaining a high level of responsiveness to clients.
  • Respond to enquiries from internal clients on a timely basis, liaising with internal departments (Eg. Portfolio Managers and Trust Officers) to resolve fee set up and calculation issues.

What you need to succeed - We'd love to work with you if:

  • A strong working knowledge of Scotiatrust policies and procedures relating to fees.
  • Good judgement, organizational and analytical skills in order to manage situations not covered by documented policies and procedures.
  • Good interpersonal skills, demonstrated verbal and written skills and the ability to interact and communicate with various levels of management and staff.
  • Analytical thinking due to the nature of the fees; the incumbent must be able to identify any deviation from procedures.
  • Working knowledge of Fee calculation processes and procedures and related internal policies and procedures preferred.
