Project Management

  • Summer Youth Volunteer Program (Post-Secondary and High-School): Oversee recruitment, training, and onboarding for Summer Youth Volunteer Program.
  • Work with strategic communications to promote summer programs on internal and external websites and platforms (i.e. social media pages and throughout hospital) as well as for featuring articles in WCH Connect issues
  • Oversee summer volunteer Instagram and twitter accounts
  • Schedule lunch and learn sessions and interactive seminars for volunteers
  • Participates in planning and coordination of volunteer recognition events (i.e. summer youth volunteer appreciation party)
  • Oversee and provide tasks for social media team
  • Write reference letters for students and sign off on community service hours for high school volunteers as requested
  • Create summer program report

Administration:

The Coordinator is responsible for the development, implementation, maintenance and evaluation processes for the coordination of volunteers and volunteer program consistent with the Mission, Vision and Values of Women's College Hospital (WCH)

  • Coordinates the recruitment, screening and placement of volunteers in accordance with departmental and hospital needs for the Year-Round Adult Volunteer Program, Research Volunteer Program, Summer Youth Volunteer Program (Post-Secondary and High-School), and Fall-Winter Student Volunteer Program.
  • Oversee the maintenance of shared google document volunteer schedule, including the implementation and training of Volunteer Team Leads
  • Assists departmental staff in recruiting volunteers for shortterm events or projects
  • Responsible for training (i.e. creation of PAO handbook) and scheduling of PAO volunteers
  • Ensures volunteer scheduling and work assignments are carried out in adherence to WCH Human Resources and Labour Relations policies
  • Participates in orienting new volunteers to the department and organization, including the development of online orientation materials and yearly refresher quizzes
  • Supervise volunteer activities directly and indirectly as appropriate
  • Monitors volunteer performance and compliance with roles, responsibilities and policies through communication with volunteers, staff, and observations as appropriate.
  • Participates in the development of strategic plans, policies and procedures, quality and risk management programs/initiatives to enable the volunteer resources department to function in accordance with professional guidelines
  • Assist in assigning workload and overseeing weekly Volunteer Resources Volunteer assistants
  • Work with Strategic communications staff to advertise volunteer programs on intranet, WCH Website, external platforms (i.e. U of T Career Learning Website), and throughout the hospital
  • Assist volunteer Manager in planning of National Volunteer Week
  • Assist in maintaining and updating volunteer resources information
  • Work with Manager of volunteer resources, other hospital management and department staff to identify and develop new roles and programs for volunteers
  • Develop promotional materials for volunteer resources and department
  • Educates/liaises with hospital staff, volunteer leaders and the Association of Volunteers regarding effective utilization of volunteers
  • Support coordination of Association of Volunteer projects/events and facilitation of communication between the Association volunteer staff, hospital staff and administration
  • Attends Association meetings as required, including executive, general and annual meetings
  • Maintains volunteer records and statistics, including preparing monthly reports and analysis of data for hospital and Association as required
  • Participate in TAVA and PAVRO meetings
  • Ensures and maintains a safe and welcoming environment for volunteers

Qualifications

  • Undergraduate degree in Human Resources or related discipline preferred.
  • Preference will be given to individuals with a certificate in the management of volunteers and/or the Professional Administrators of Volunteer Resources-Ontario (PAVR-O) certification.
  • Courses/certification in management, leadership, conflict resolution is a definite asset
  • Minimum of 2 years curre
