Overview:
The Support Services and Accreditation Coordinator (SSAC) contributes to the efficient operation of the unit by providing a range of administrative support functions and customer service to the department, its staff, students,and academic visitors.
A very important part of the position is the collection and analysis of data for CEAB accreditation and support for assessment of the learning outcomes and student experience.
Responsibilities:
Provides a range of administrative services to enhance the operation and efficiency of the department, its staff, students and academic visitors including the following duties
- Manages daily workflow of main
- Manages the beginning and end of term procedures (e.g. lockers, updating bulletin boards, etc.)
- Orders and monitors the department's administrative and teaching supplies within availablebudget and ensures inventory of stock is maintained
- Maintains front office and Grad departmental equipment (i.e., photocopiers, printers, copier codes, door codes, etc.)
- Arranges meetings, including room bookings, catering, A/V support, and others as required
- Compiles and maintains department and undergraduate/graduate course files, exams, records and
- Serves as liaison between the department and UW Bookstore and textbook sales representatives
- Assists in the planning and execution of department, graduate, and undergraduate academicand social events
- Acts as Graduate Scheduling Representative and coordinates all logistics, working with the Undergraduate and Graduate Studies Coordinators and Scheduling
- Responsible for undergraduate and graduate midterm bookings. Acts as a backup for undergraduate and final exam scheduling ; liaises with representative in other department/faculties across campus and instructors; evaluates instructor/student needs to ensureconflict free schedules; uses sound judgement to resolve any conflicts
- Manages and creates term proctoring schedule, assigning proctoring duties to graduatestudents and external proctors; resolves unforeseen and lastminute changes using sound judgement, and provides information to Financial Coordinator for preparation of casual pay
- Collects course outlines each term and uploads to Department SharePoint Site
- Communicates with instructors regarding the Engineering course evaluations
- Communicates departmental health and safety, policy and procedures to new Faculty, Staff, TASessional instructors, etc.
- Provides administrative support for the outcomesbased assessment processes at the program level. Incumbent works closely with program staff, department administration and stakeholders to support all administrative functions of outcomesbased education
- Working with instructors each term, collects and assesses course outlines and OBA workbooks for each course. Enters qualitative data used to analyze and report student learning outcomes with accuracy
- Supports instructors to facilitate their outcomes documentation throughout the term
- Collects assessment data on a termbyterm basis and reviews reporting documents for completion, quality, and compliance
- Analyzes data, including preparation of charts and graphs, and maps results to Canadian Engineering Accreditation Board (CEAB) report requirements
- Contributes to presentations for stakeholder dissemination of accreditation information
- Monitors, collects and prepares materials required for CEAB submissions. Duties may include but are not limited to preparation of Course Information Sheets, SuperForms, Academic Staff Information Sheets, etc.
- Works closely with Graduate Attributes Lecturers; Associate Chair, Undergraduate Studies; Undergraduate Advisor; and Teaching Faculty on the preparation and collection of course materials, questionnaires, etc.
- Prepares materials for submission
- Attends all departmental and faculty level meetings related to outcomebased assessment and accreditation activities
- Acts as a liaison with the Office of the Associate Dean, Cooperative Education and Professional Affairs, to facilitate and coordinate program reviews, external visits, etc.
- Working with the Graduate Attributes lecturer, develops and implements a variety of assessments, including graduating student surveys, beginningofterm and end of term surveys, analyzes data, ensures quality control, and reports results
