Support Clerk - International Student Services


Reporting to the Manager, International Student Services and Engagement, the incumbent is the key support in creating letters for International Students to submit to Immigration, Post-Grad Work Permit, Restoration of Immigration Status, and study permit extension.


As well, this role provides letters for International students to access funds for school: budget letters, proof of study and approved break letters.

Currently this process requires the incumbent to use a combination of systems in order to complete the letters, Banner, MAP, International Student Program Database, and connection with academic area for those students who are out of sync.


The incumbent will complete a review on all communications on the website pertaining to letters and process, and identify areas of opportunity to improve the student experience, with emphasis on expediting requests, opportunities to automate, or recommending and creating new processes for staff to create letters in review with the Manager of International Student Services.


Responsibilities:

The duties of this position include, but are not limited to:

Create Letters to Support International Students

  • Create letters for students to extend their study permit if they did not complete their program or changed their program and their study permit is about to expire.
  • Create restoration letters to help support students who have had their study permit expire. At this point students are usually working with an immigration lawyer and we provide supporting documentation as to the future plan the student will need to complete their program.
  • Work with various partners within the college (academic areas, Admissions, Registration & Convocation, Regulated International Student Immigration Advisor and International Student Advisors) to prepare letters.
  • Use Banner, MAP, ISP, Banner, IAS, in order to confirm information to create the letters.

Enhancements

  • Review and assess current processing timelines, gaps in process, etc. and identify changes that could be made.
  • Identify gaps in the process and provide solutions on how to automate letters required for international students
  • Work with Manager to understand resources available to support enhancements, timing and capacity.

Communications

  • Review all website content, make recommendations and create a plan to implement changes as it relates to letters of support, requesting them and timing to receive.
  • Work with Communications team to create content to be included in weekly messages related to letters of support that align to the students' academic progressions.
  • Respond to inquiries from college staff and students regarding letters of support.
Other duties as assigned.


Qualifications:


  • 2year diploma in Office Administration, Business, or Software Development
  • A minimum of three years related working experience with international students and immigration process.
  • Knowledge of Post Secondary and EAP programs, as well as College services is required.
  • Knowledge and experience working with academic ERP systems is required.
  • Experience working with students from diverse cultural backgrounds is required.
  • Preference will be given to applicants who speak a second language and/or who have international experience (i.e. lived internationally, studied internationally and can relate to international students firsthand).
  • Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively with diverse groups of students, employees and the community.
