Hours: 35 hours per week - Monday to Friday (8:30 am to 4:30 pm) Full Time Permanent
Must be willing to work occasionally outside regular hours to meet the objectives of the position.


Salary:
Grid 10 $25.95 to $29.76 per hour


We are looking for an Administrative Assistant to join our SOURCES Infant Development Program team This position requires an individual who is flexible, self-motivated, energetic, and outgoing.

Excellent written and spoken English communication skills are essential to this role, which involved interactions with community, clients, and staff.

This position entails working outside regular office hours and may include evenings and weekends.

SOURCES Infant Development Program provides service to children under three who are at risk for or diagnosed with developmental delays.

Description of Position
Reporting to the CDS Team Leader, the Administrative Assistant is a permanent employee of Sources Community Resource Centres.

This role is the first point of contact for any individual, ensuring that they feel comfortable, safe, and cared for regardless of the reason for their visit.

A high degree of professionalism, compassion, and the ability to act as a positive ambassador for the organization is crucial.

This role will provide administrative support to CDS Team Leader, as well as the IDP Team and across the organization as required.


Responsibilities:


  • Greets, directs and assists visitors to the office.
  • Responds to incoming telephone inquiries and directs calls to appropriate individuals and teams.
  • Work collaboratively with IDP staff providing administrative support.
  • Ability to collaborate with a variety of staff on projects and events.
  • Develop and maintain accurate documentation of all client communication, activities, and outcomes in ShareVision and electronic files.
  • Retain client, service and statistical data as required by the funder and SOURCES.
  • Coordinate Concierge cleaning, office maintenance, main property manager contact.
  • Maintaining and ordering lists of needed supplies and materials with approval of Program Supervisor
  • Assist with Occupational Health and Safety
  • In collaboration with CDS Team Lead and IDP Supervisor, prepares for internal and external meetings by booking meeting rooms, ordering catering, preparing, and distributing agendas and relevant documents along with preparing meeting minutes.
  • Contacting service providers and contractors when approved by Program Supervisor
  • Developing new systems and procedures as needed
  • Creates and maintains the administration manual.
  • Out of office errands and pickup and delivery between SOURCES locations.

Qualifications:


  • A diploma or combination of relevant education, professional experience, and industry training
  • Minimum of three (3) years' experience in related office management positions
  • Proven ability to maintain confidentiality, and exercise tact and good judgment in dealing with various stakeholders.
  • Strong attention to detail.
  • Excellent editing/proofreading abilities, organization and time management skills.
  • Service oriented, culturally competent, and adaptable to working with a diverse team and client base.
  • Flexible and selfmotivated with the ability to take initiative, work independently and under pressure in an output/outcomebased work environment.
  • Professional presentation with a positive attitude
  • Excellent organizational and verbal and written communication skills
  • Clean Criminal Record Check
  • Driver's license and reliable transportation
