Position Summary


The Administrative Assistant is responsible for performing a full range of administrative duties for all departments as needed; providing accurate, timely and efficient support.

This support role performs a variety of administrative, fiscal, staff support, and planning activities, some of which require advanced or specialized knowledge and skills.

Senior Reinsurance Analyst will assist in the processing and management of the proportional book of business. This includes liaising directly with clients, underwriters, other departments and staff at all levels.

Key Responsibilities

  • Oversees and/or performs a range of diverse administrative activities for group; serves as a central point of liaison with various departments and external investors/clients in the resolution of a variety of daytoday matters. Assist functional areas and administrative duties with the highest level of confidentiality.
  • Provide administrative support to the chairpersons of the Scholarship Committee, Charity Committee, Social Committee, and any other internal committees.
  • Schedule and organize meetings for both internal and external clients
  • Update calendars as required
  • Coordinate booking of conference rooms with requested IT support and any other items per meeting
  • Other items as required
  • Arrange all aspects of travel for the supporting departments and leaders including but not limited to airfare, rail, accommodation, transportation, country entry requirements, conference registrations, events
  • Prepare expense reports for supporting department and leaders. Prepare and submit a variety of invoices for events and functions
  • Maintain and order kitchen and office supplies as approved by Office Manager for all floors (3rd, 4th, and 5th) through Coupa. Verify deliveries against invoices upon arrival and follow the process in Coupa regarding receipt of goods, change orders, credits, etc.
  • Reconcile statements of goods purchased for Accounts Payable
  • Provide backup support to the reception desk when needed
  • Perform other duties as assigned
Required Skills and Experience

  • High School diploma or equivalent with a minimum of 2 years office administration experience required
  • Experience in provision of superior customer service
  • Experience in interacting with senior levels of management
  • Ability to recognize need for discretion/confidentiality
  • Good organizational and diary management skills
  • High proficiency with Microsoft Office (Outlook/Word/Excel)
  • Experience with online ordering
  • Meticulous attention to detail and accuracy
  • Experience with reconciliation of deliveries to Invoices
  • Valid Bermuda Driver's License
  • Strong interpersonal and communication skills (both written and verbal)
  • Ability to organize and prioritize demanding workload
  • Selfstarter who demonstrates initiative and team player who takes exceptional pride in their work
  • Ability to work reasonable additional hours as required
