ABOUT THE ROLE


The Transportation Coordinator (Customs) will play a pivotal role in managing logistics processes, ensuring compliance with customs and international regulations, liaising with stakeholders, and optimizing transportation strategies to meet business objectives.


Logistics and Transportation Management:


  • Provide transportation support for the movement of goods, ensuring safe and ontime delivery to meet established due dates.
  • Track and monitor shipments, regularly following up with involved parties.
  • Precisely organize and coordinate shipping details with internal requestors, shippers, vendors, receivers, and colleagues to meet requested ETAs.
  • Research and obtain all necessary documents for upcoming shipments
  • Develop and execute transportation plans within deadlines and budget constraints.
  • Request rates frequently to select the best vendors with mínimal service disruption.
  • Follow up for product approvals and update all freight forwarders, coordinating freight transit times and managing submission on transportation documents to prevent delays.
  • Track and monitor shipment to ensure no delays
  • Manage manual transportation trackers for organizational visibility, scheduling and organizing loads for delivery, acquiring invoice and billing information for rate confirmation, updating shipping notices, and organizing all documents to close off load files.

Communication and Liaison:


  • Liaise and communicate with carriers to negotiate prices and service details, coordinating with the warehouse team for load information and updates.
  • Coordinate with customs brokers and agents to resolve any issues or discrepancies related to customs clearance.
  • Communicate effectively with internal departments to provide guidance on customs requirements and procedures.
  • Initiate internal communication to report delays or issues compromising business goals and promptly report delayed shipments to the Director, Logistics & Transportation.

Compliance and Risk Management:


  • Connect with broker to ensure OVO is up to date on all global changes and requirements
  • Obtain all shipping documents for customs submission, ensuring timely provision of required documents and contact information for clearance.
  • Review completed entries to establish if a drawback is necessary.
  • Create and submit drawback claims to appropriate brokers and government agencies.
  • Identify customs credits inquiries from the internal Accounting department and follow up on duty drawbacks and entry amendments until completion.
  • Conduct regular audits of customs documentation and processes to identify potential compliance risks.
  • Implement corrective actions and process improvements to enhance compliance and mitigate risks.
  • Stay informed about changes in customs regulations and trade agreements affecting North American markets.

Customs Documentation Management:


  • Prepare and review all necessary customs documentation, including import/export declarations, certificates of origin, and permits.
  • Ensure accuracy and completeness of customs paperwork to expedite clearance processes and minimize delays.
  • Maintain uptodate knowledge of customs regulations and tariff schedules to ensure compliance.

Cross-Functional Collaboration:


  • Collaborate with internal teams such as logistics, supply chain, and procurement to streamline customs procedures and optimize transportation routes.
  • Provide training and support to internal stakeholders on customs compliance and documentation requirements.
  • Participate in crossfunctional projects aimed at improving efficiency and reducing costs related to customs clearance.

MUST HAVES

  • 12 years experience in customs compliance, import/export operations, or logistics.
  • Strong understanding of HS codes, customs regulations, including USMCA, CBP regulations, customs clearance procedures, and transportation industry best practices.
  • Excellent communication and interpersonal skills, with the ability to work effectively with crossfunctional teams and external partners.
  • Detailoriented approach with a focus on accuracy and quality of work.
  • Excellent organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
  • Strong analytical skill
