SOMA is looking for a
Reports Coordinator to join our team


The
Reports Coordinator assists in the management of independent medical assessment report deadlines, sends dictations to transcriptionists, follows up with doctors and lawyers for reports, handles quality assurance questions, handles client inquiries, formats reports, submits final reports to clients, occasionally reviews and makes typographical corrections on medical reports, and provides overall support to the Quality Assurance Department.


This is an entry-level administrative position.
The schedule for this role is
Monday to Friday 8:00am-4:30pm.

Qualifications:

QUALIFICATIONS

  • Must possess a working knowledge of medical legal aspects of medical records and health information principles.
  • Must demonstrate accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Must be able to transcribe at a minimum of 50 W.P.M.
  • Ability to analyze problems involving multiple interrelated causes. Where necessary, gathers information and applies complex concepts or methods to generate an effective solution.
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone systems.
  • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Excel, and the Internet.
  • Able to follow instructions and respond to upper managements' directions accurately
  • Must be able to work independently, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Must be able to demonstrate and promote a positive teamoriented environment.
  • Must be able to stay focused and concentrate under normal or heavy distractions.
  • Must be able to work well under pressure and or stressful conditions.
  • Must possess the ability to manage and direct change, delays, or unexpected events appropriately.

Responsibilities:


  • Provides overall support to the department and assists in the daily distribution of work.
  • Ensures that report timelines are met according to individual Client SLAs.
  • Utilizes appropriate tools and resources, as needed, to achieve expected goals within the required timeframes.
  • Sends dictation files to transcription.
  • Communicates with assessors in regards to submission of initial draft reports within expected timelines, edits requests, and additional records, such as consent and LAT forms.
  • Performs initial screening of draft reports for potential issues regarding accuracy of referral information.
  • Communicates with intake and meddoc departments to ensure clarity of referral information and supplementary documentation. Flags issues for QA, as appropriate.
  • Assists in resolution of customer complaints and quality assurance issues as needed; and, if necessary, escalates to appropriate management personnel.
  • Performs screen of final reports prior to release to client.
  • Releases final report to client.
  • Provides insight and direction to management on consultant quality, availability and compliance with all company policies and procedures.
  • Participates in the development and implementation of policies and procedures in order to provide advice and guidance.
  • Participates in various educational and or training activities as required.
  • Performs clerical duties such as typing, filing, and scanning as required.
  • Maintains and retrieves electronic and hard copy documents as required.
  • May assist in performing quality assurance review of IME reports and correspondence with a keen eye for errors, omissions and inconsistencies with respect to grammar and content (this is a minor part of the role).
  • Performs customer service by consulting with referral source as necessary to clarify referral needs, request additional information, provide case status updates, etc.
  • Keeps up to date on industry related changes/regulations/legislation
