is looking for a
Dispatch Coordinator/Administrative Assistant to join our team in Surrey, BC to coordinate and dispatch our in-house technicians and subcontractors in BC.

We work on commercial renovations, tenant improvements and facility maintenance for renowned businesses.

The Dispatch Coordinator/Admin Assistant performs a variety of dispatching and administrative tasks.

The person in this position is responsible for coordinating in-house technicians and subcontractors, scheduling service work and projects, and ensuring the ordering of materials and equipment.

MAIN RESPONSIBILITIES:


  • Schedule work for service technicians and subcontractors.
  • Responsible for communicating all relevant information between clients and service technicians/subcontractors.
  • Track service work and small projects from start to finish.
  • Responsible for supervising technicians and their time tracking for payroll.
  • Assist with technicians' timeoff requests.
  • Support and motivate the technicians' team to consistently meet deadlines and standards of quality within budget and address any discrepancies directly with them.
  • Responsible for calculating time and materials on workorders and preparing for invoicing.
  • Responsible for ordering materials and supplies for service work and for small to medium size projects.
  • Responsible for scheduling repairs and maintenance on tools and equipment.
  • Assist with the tracking and organizing of vehicle maintenance.
  • Hold signing authority for purchases, tools, vehicle repairs within established limit.
  • Communicate effectively with clients and all team members.
  • Responsible for scheduling safety training and first aid courses as required.
  • Share responsibility for afterhour calls.
  • Responsible for creating new client accounts.
  • General administrative support to the Projects team.
  • Works directly with Regional Manager to address requirements.

QUALIFICATIONS / REQUIREMENTS:


Required Experience:

years of experience as a coordinator within the construction or trades industry

  • 2 years of supervisory responsibilities

Required Knowledge, Skills and Abilities:


  • Strong computer skills in Microsoft Office
  • Knowledge of Salesforce, Skedulo and customer portals is an asset
  • Strong organizational skills
  • Strong interpersonal skills with the ability to establish and maintain effective working relationships
  • Strong communication skills written and verbal
  • Ability to prioritize tasks
  • Ability to solve problems efficiently

Job Types:
Full-time, Permanent


Salary:
$61,000.00-$65,000.00 per year
