This is an 11 month term position with the possibility of extension. This position is 0.6 FTE (21 hours per week).

Position Summary


This position is responsible for the daily administration, service and support of the Workplace Learning (WPL) Ecosystem and provides administrative support to the Director, Learning and Talent Development, and Managing Director, WLE in selected tasks.

The Workplace Learning Associate works collaboratively with members of the WPL team to deliver administrative, stakeholders and users support.

Organizational Status


This position reports to the Workplace Learning Analyst and works collaboratively with users and stakeholders to resolve problems and challenges within the workplace learning ecosystem, and provides confidential administrative support to the Managing Director of Talent.

Work Performed

  • Connects with support communities (Eg. CTLT, LT Hub, ISC) and accesses online guides to identify client solutions or troubleshoot crossplatoform issues.
  • Contributes to the analysis and recommendations for all systems supported infrastructure as part of regular operations
  • Support the facilitation of the onboarding for internal and external facilitators, and new WPL stakeholders, ensuring agreements and/or contracts are in place, and that training follows the required standards.
  • Support WPL Ecosystem communication strategies. Updates print and online content for the HR website, Workplace Learning Catalog and Canvas online learning platform.
  • Prepares evaluation summaries and data reports as requested or needed.
  • Provide support to the Learning Analyst in meetings preparation, trainings, community of practice sessions, and running the WPL ecosystem operations.
  • Provides confidential administrative support to the Managing Director, WLE relating to scheduling, recruitment activities, and contract preparations and negotiations
  • Performs other related duties and projects, (such as coordinating recognition functions, arranging logistics for nontraining events, etc.) as assigned.
Consequence of Error/Impact of Decisions

Serious errors in judgement and failure to follow best practices may have negative consequences on the reputation and quality of Workplace Learning and Engagement programs and may also damage the reputation of Human Resources

Supervision Received

This position reports to the Workplace Learning Analyst.

Work is performed under limited supervision and most duties are performed independently, consulting WPL team members and other stakeholders and Human Resources teams on related matters as required.

Supervision Given

This position may supervise students.

Minimum Qualifications

High School graduation and two years post-secondary education. 4 years related experience or the equivalent combination of education and experience.

Preferred Qualifications

  • Microsoft Outlook, Word, Excel and PowerPoint proficiency at an advanced level. Experience with Canvas, Catalog, Appointy, Workday (or similar HR Systems), ServiceNow considered an asset.
  • Basic understanding of Adobe Illustrator, Photoshop, and HTML are an asset.
  • Excellent command of the English language. Proven ability to communicate professionally and tactfully, both orally and in writing. Ability to compose correspondence and other written materials using clear concise business English.
  • Ability to take initiative and work independently. Effective organizational, problemsolving, and planning skills. Ability to effectively manage multiple tasks and priorities. Ability to maintain accuracy and attention to detail.
  • Ability to foster positive, productive working relationships and work collaboratively within the HR portfolio and with UBC internal and external community partners. Ability to exercise judgment, tact, discretion and diplomacy in dealing with confidential and sensitive matters. Strong customer service orientation. Ability to deal with a diversity of people in a calm, courteous, and effective manner.
