Location - North Campus Edmonton. This role is hybrid with a mix of remote and in-person.

Working for the Department/Faculty


The Department of Medicine is the largest department in the Faculty of Medicine & Dentistry at the University of Alberta with over 250 academic faculty members and over 400 trainees (graduate students, postdoctoral fellows and residents).

The Department of Medicine's core mission is to undertake outstanding education, research and high-quality clinical care to provide the best possible health outcomes for Albertans.

We have 14 divisions that work collaboratively in a multi-disciplinary, multicultural and ethnically diverse collegial environment.


Position


The Department of Medicine's Department Program Support - Operations area is dedicated to assist our 14 Divisions their faculty, staff and others with inquiries and forms related to general human resources.

This area will initiate the hiring and payment of staff by submitting tickets and forms through the Shared Services site.


Duties

  • Acts as first point of contact for questions regarding hiring employees within the Department of Medicine.
  • Triages questions and concerns, escalating to the appropriate individual or areas as needed.
  • Initiates processes using pay action forms and eforms, position updates, changes to FTE.
  • Assists with employee appointments, reappointments, extensions through APS (Alfresco Processing System).
  • Creates person id's for the Department, provides Guest access as required through Campus Solutions.

Minimum Qualifications

  • Postsecondary diploma in the area of business administration or equivalent; equivalent combinations of education and experience may be considered.
  • Minimum of 3 years of experience working in the area of business administration, preferably within a postsecondary institution.

Preferred Qualifications

  • Familiarity with University of Alberta policies and procedures.
  • Experience with vacation reconciliations.
  • Experience with JDE/Oracle would be an asset.
  • Records management.
  • Excellent interpersonal communication skills.
  • Ability to work independently and as a valued team member.
  • Excellent time management skills. Must be able to prioritize and manage workload to meet the multiple demands of the position.
  • Strong communication (written and verbal) and organizational skills; attention to detail.
  • Demonstrate excellent judgement and discretion, particularly in the management of confidential information.
  • Demonstrated competencies in the areas of: professionalism, results orientation, organizational understanding, teamwork, flexibility/adaptability.
  • Excellent computer skills including proficiency in use of database, spreadsheet and word processing software.
  • Must be legally eligible to work in Canada.
