100% Permanent Facilities Assistant

34.5 hours per week between 8:30am-4:30pm

RESPONSIBILITIES AND DUTIES:


  • Provide confidential clerical support to the Executive Manager of Plant and Operations, Supervisor of Custodial Services and Supervisor of Maintenance Services. This includes composition of correspondence, maintaining online resources, processing department mail, filing, mileage claims, equipment tracking, department service calls, and responding to general inquiries related to plant and operations procedures.
  • Assist with the daily administration of the custodial absence and coverage process including timesheet administration and absence/coverage records.
  • Maintain contractor Insurance and WSIB.
  • Responsible for community use of schools system and permitting process.
  • Coordinate various contracts such as waste management, custodial supplies, snow plowing and grass cutting and grounds servicing etc.,
  • Process purchase orders related to plant and operations.
  • Receive and review invoices for completeness and accuracy and assign PO and account numbers.
  • Assist the finance department with tangible capital asset reporting and assist in audit preparation which includes maintaining capital project files.
  • Ensure that the class loading documents are updated annually and reflected accurately in the School Facility Inventory System.
  • Collect and file school inspection reports
  • Coordinate and schedule window cleaning and annual summer inspections at all sites.
  • Responsible for key/security code management and distribution.
  • Coordinate parking tags and school signage.
  • Responsibilities related to Health and Safety include, recording minutes for joint health and safety meetings, administrator for the eBase and safe schools systems.
  • Assist with Capital Expenditure process.
  • Provide budget support to the department.
  • Assist with the coordination and distribution of PPE to schools.
  • Other duties as assigned by the Executive Manager of Plant and Operations and/or the Department Supervisors.

REQUIRED QUALIFICATIONS AND EXPERIENCE:


  • A postsecondary diploma in Business or Office Administration and/or related equivalent experience.
  • A minimum of 3 years' related experience in a supportive clerical or administrative capacity, preferably within a Facilities or Business department. School board experience is an asset.
  • Demonstrated ability to function effectively in a fastpaced office environment with excellent attention to detail, organizational and time management skills, and the ability to multitask, prioritize workload and maintain efficiency and effectiveness of services.
  • Strong customer service focus with excellent interpersonal skills. Must demonstrate ability to function effectively within a team and collaborate with colleagues, administrators, managers, staff, and others.
  • Ability to maintain discretion with confidential information.
