    Job Description:
Purpose of Position


Accountable for providing operational and administrative services, Facilities and Admin Team to support the effective and efficient delivery of facilities services to FSRA management and staff.


Key Responsibilities- Provides day to day operational services to support the facilities needs of FSRA.- Responds to incoming service requests within service level agreements including, but not limited to maintaining office equipment, completing minor maintenance and repairs of furniture, door locks etc.- Prepares meeting rooms for meetings and events; coordinates rooms set up with the IT Department and tracks scheduled meeting room bookings.- Distributes and tracks assets allocated to FSRA staff including keys, furniture, office security passes, etc.- Physically assists with office and workstation moves, adds, and changes and moves furniture (tables, desks, chairs, boxes or moving bins, etc.).- Conducts daily inspections of all office premises to ensure premises are maintained and in good repair.- Works with building management and vendors to address any issues including but not limited to HVAC, lighting, security, cleaning, and plumbing.- Ensures kitchens, copy rooms and general service areas are clean and free of unnecessary clutter- Maintains first aid kits and supplies.- Provides back up in records management including processing of orders to retrieve files or boxes from offsite storage; entering inventory and order data in the records management database and ensuring that boxes going offsite have accurate information.- Provides back up to the mailroom area as requested during absences or peak periods or as requested by the Manager.- Assists with the preparation of the photo ID access card for employees.


Qualifications:


Education and Experience- High school or college diploma is required.- Minimum of - 2 years' experience in office administration.- Minimum - 2 years' experience in providing a range of maintenance and related services within a facilities services area.


Knowledge and Skills- Demonstrated knowledge of administrative principles, methods/systems and office procedures to provide administrative support and coordinate assigned administrative projects.- Technical proficiency with MS Office (Word, Outlook, Excel, PowerPoint and SharePoint), Internet/Intranet, and other internal systems/databases to prepare a range of documents, access information, administer databases and tracking systems and coordinate systems maintenance and upgrade requirements.- Knowledge of records management procedures and processes.- Knowledge of financial policies and processes.- Customer service orientation with good verbal and written communication skills and attention to detail.- Ability to multi-task, prioritize and organize workload combined with time management skills to proactively handle facilities maintenance requirements and manage competing requests.- Demonstrated problem solving skills to identify and resolve administrative issues or develop effective solution recommendations.- Demonstrated analytical skills to review/edit documents, identify potential missing/inaccurate information and follow up with staff.
