***: Reporting to the Supervisor, Total Rewards, the Associate is responsible for the onboarding of all new hires to the Kingston Health Sciences Centre, including the management of all hardcopy employee files along with entering and tracking pay and benefits information into SAP, the HRIS system. This role is also the main point of contact for the Total Rewards team handling all client service needs, logging all forms and requests, providing statistics on service, data entry and reporting, and providing related information to managers and employees. This role also coordinates reporting for trial and probationary periods along with age monitoring with respect to benefit entitlements.

Within this role the employee is accountable for contributing to the delivery of the Kingston Health Sciences Centre strategy.

As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.


RESPONSIBILITIES & DUTIES INCLUDE:


  • Administer all employee transactions regarding new hires including medical Residents as well as core demographic changes such as banking, name, phone, address, etc. Process and track related documentation and assist with new hires to the organization. This role will also verify employment for credit and verification purposes.
  • This role is the first point of contact to the department for managers and employees ensuring the smooth flow of information throughout the various areas within People Services including the referral to the appropriate specialist where needed. The Associate responds to employee queries by interpreting Hospital policies and collective agreement language around employee benefits, HOOPP and compensation and provide extensive data entry into HRIS systems.
  • The Associate is responsible for the management of the Total Rewards inbox to route requests for information, transfers, hires, terminations, leaves, Resident intake, etc. in addition to maintaining all paper and electronic form development and updates on the Intranet. The role is accountable for the organization, maintenance and access control of all Employee files and file audit process (currently active, term and retiree files).

BASIC QUALIFICATIONS

  • Threeyear advanced diploma in Human Resources Management from a community college
  • Minimum of oneyear experience in human resources or business administration.
  • 3 years of direct human resources experience preferred
  • Excellent communication skills with demonstrated ability to multitask, communicate effectively, and be courteous at all times.
  • Excellent organizational skills including the ability to prioritize workload to meet deadlines.
  • Ability to perform in a high paced, high demand role with accuracy and attention to detail
  • Ability to appropriately handle sensitive and confidential information concerning employees and patients.
  • Evidence of good organizational skills with the ability to work under peak pressure and time constraints is essential.
  • Must demonstrate ability to take initiative to improve work processes.
  • Demonstrated ability to work with mínimal supervision as a team member.
  • Advanced knowledge of Microsoft Office programs.
  • Knowledge of human resource information systems (HRIS).
  • Successful criminal background check with vulnerable sector search.
